 Job Summary:  To provide administrative support to the residential program.

Supervisory Responsibility:   None

Duties

  • Run monthly weight report and provide follow up with RD for missing data 
  • Filing of site inspections on drive and inform management of missing forms each month
  • Receive month Fire/Severe weather drills  from all locations and file on drive 
  • Track moving and traffic violations for vehicles assigned to residential. Work with staff to identify driver, follow up with payroll and HR on discipline and deduction. 
  • Preparing Red Books/blue Books for admission 
  • DDP notes for assigned caseload 
  • Respond to requests and referrals for service.  Route according to status of potential individual.
  • Obtain information for new admissions from RDs/Managers within 14 days after new admission: Upload of Admission Agreement, Annual forms, Other new admission documentation to Ebridge.  Set up new admissions in Therap and Ebridge.
  • Prescreening applicants and completing interviews as needed
  • Partnering with HR to schedule candidates for training.
  • Coordinate and arranging quarterly van cleanings.
  • Send Annual day to day agreements to recipients and ensure they are returned and file (100%)
  • Monthly updating residential list and contacts and distribute
  • Download comments from OnShift and provide summary to upper management.
  • Submission of PPSV packets for all new admissions (work with RD’s in outlying areas)
  • Researching community resources and activities and share with managers for incorporation in monthly activity calendars.
  • Provide updated contact numbers to the security alarm company.
  • Purchasing of replacement items for homes (work with residential quality improvement coordinator) and items needed for new admissions. 
  • All other duties as assigned.

  • Proficient with Microsoft Office Suite or related software.

Required Certifications and Licenses:

CPR/First Aid, UCP Medication Administration Training

Education and Experience:

Bachelor’s degree in human services or related field; 2 years working in Direct Support for the IDD community.

Physical Requirements:

The list of requirements below must be met with or without reasonable accommodations. 

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to occasionally move about to access file cabinets, office machinery and other locations in the building. 
  • Must be able to continually operate a computer and other office machinery such as a calculator, copier machine and computer printer. 
  • Must be able to communicate and converse with others, detect and discern others’ communication, and express oneself.
  • Must be able to relay information to all levels of staff.
  • Must be able to lift and/or move up to 15 lbs.
  • Must be able to operate a motor vehicle
