We are seeking an experienced and detail-oriented Warehouse Inventory and Logistics Coordinator for our warehouse operations, inventory control, and fleet management. In this role, you will act as a central hub for incoming and outgoing materials, maintaining high standards of organization, safety, and inventory accuracy across our facility and fleet. Your primary focus will be coordinating the Suspended Material Area (SMA), executing Return Material Authorization (RMA) dispositions, performing incoming inspections, managing fleet upkeep, and maintaining inventory accurate records within our Workforce Management System.

The ideal candidate has at least 3 years of experience in warehouse control, inventory management, shipping/receiving, or logistics coordination. This person possesses exceptional organizational skills, a strong eye for detail, and thrives in a hands-on environment where maintaining systematic workflows and inventory accuracy is critical.

Core Responsibilities

1. Suspended Material Area (SMA) & RMA Management

ā— SMA Coordination: Maintain, organize, and monitor the Suspended Material Area (SMA) to ensure items are properly tracked and neatly organized.

ā— RMA Processing: Properly disposition items assigned to the SMA, including processing returns through standard Return Material Authorization (RMA) procedures, including proper inventory transactions.

ā— Aging & Tracking: Actively track all items in the SMA, monitoring dwell time to ensure materials are dispositioned in a timely manner and preventing unhandled backlog.

ā— Area Upkeep: Keep the SMA safe, clean, orderly, and clearly labeled at all times.

2. Shipping, Receiving & Incoming Inspection

ā— Receiving Inspection: Perform detailed incoming inspections to verify that physical shipments match vendor paperwork (packing slips) and order system specifications.

ā— Material Job Assignment: Accurately assign and stage incoming materials to the correct job upon receipt to support operational workflows.

ā— Shipping Execution: Package, document, and schedule outgoing shipments in alignment with company standards and delivery timelines.

ā— Parts Pickup Area: Maintain and clean the parts pickup area, ensuring it remains organized, accessible, and neat for internal team pickups.

3. Fleet Operations & Vehicle Maintenance

ā— Vehicle Status Monitoring: Monitor the overall status and health of the company fleet, tracking routine maintenance schedules and coordinating necessary service or repair needs as required.

ā— Garage Parking Safety: Maintain a safe, clear, and consistent parking pattern for all fleet vehicles stored in the garage facility.

ā— End-of-Life Dispositioning: Assist management in the evaluation, coordination, and disposition process for vehicles reaching their end of life.

4. Warehouse & Inventory

ā— Workforce Management System (WMS) Data Entry & Maintenance: Maintain inventory accurate records within the BuildOps Workforce Management System, supporting accurate counts and real-time tracking.

ā— Fleet Inventory Support: Support vehicle inventory processes, assisting with stock checks and material tracking across the fleet.

ā— Warehouse Coordination: Oversee general warehouse operations to maintain a neat, safe, and highly structured environment.

ā— Obsolete Inventory Disposition: Identify and properly disposition old, obsolete, or non-viable inventory to maximize space and operational efficiency.

Required Skills & Qualifications

ā— Experience: Minimum of 3 years of experience in warehouse coordination, shipping and receiving, inventory control, or logistics operations.

ā— Software Proficiency: Hands-on experience utilizing a Workforce Management System (WMS) or Inventory Management Software, preferably BuildOps or similar. Proficiency with basic inventory tracking platforms is required. Competency with Google Sheets or Microsoft Excel is required.

ā— RMA & Inspection Skills: Proven understanding of RMA workflows, return handling, and incoming material inspection practices against purchase orders and shipping manifests.

ā— Fleet Coordination: Prior experience monitoring vehicle service needs, coordinating fleet upkeep, or assisting with equipment/vehicle disposition.

ā— Organization & Detail: Outstanding organizational and spatial management skills, with a track record of keeping physical warehouses and staging areas neat, organized, and safe.

ā— Communication & Collaboration: Strong verbal and written communication skills to effectively coordinate across operations, field teams, vendor logistics providers, and management.
