PURPOSE

This position will oversee facilities management under the general supervision of the Sr. Director of Facilities, Fleet and PMO. The role will manage processes, including budgetary reporting, and will be responsible for vendor management as well as overseeing related programs or initiatives. Additionally, this position will support the Sr. Facilities Managers as needed to ensure timely and quality solutions are provided to our stores.

MAJOR RESPONSIBILITIES

FACILITIES MANAGEMENT

  • Oversee emergency calls (which may occur 24/7), escalations, and daily transactions to ensure quality and prompt repairs are delivered to our stores.
  • Coordinate vendor project manager activities with internal facilities teams, construction management, and operations groups to ensure seamless facility management integration and minimize business disruption during grand opening phases.
  • Manage landlord interactions and communicate with the Real Estate team for documentation.
  • Assist in the 3rd party store inspection process.
  • Identify capital projects through store inspections, store wish lists, and vendor recommendations.

VENDOR MANAGEMENT

  • Collaborate closely with the Sr. Director of Facilities, Fleet and PMO to ensure vendor compliance with company goals and standards.
  • Manage vendor project manager contract compliance and service level agreement adherence, ensuring all external project management resources meet corporate standards for communication, reporting, and professional conduct.
  • Assist in quarterly reviews with primary vendors to discuss performance and opportunities.
  • Ensure new store maintenance contracts are established and services are prepared to begin at the time of substantial completion.

CATEGORY RESPONSIBILITIES

  • Provide escalated support for assigned categories, such as HVAC, Fire Protection, Janitorial, Waste Management, Building Envelope, CAM, etc.
  • Maintain SOWs, specifications, and store classifications for assigned categories.
  • Work with Procurement on RFPs as needed.
  • Assist in the QBR process for applicable categories.

BUDGETARY RESPONSIBILITIES

  • Assist in P&L support, accrual processes, and budgeting for assigned categories.
  • Assist in the reforecasting of assigned budgets quarterly.
  • Assist in the P&L explanations monthly.
  • Assist in the accrual reporting monthly.
  • Assist in annual budget development.

MINIMUM ELIGIBILITY REQUIREMENTS

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration or related field.
  • 3-5 years Facilities Management experience required.
  • Energy Management and/or Utilities experience preferred.
  • Strong computer skills, including Microsoft Office Suite.
  • Detail-oriented and highly organized.
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment.
  • Must maintain a valid driver’s license.

WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)

  • 25% Travel required including air and car travel
  • While performing the duties of this job, the employee is frequently exposed to a construction site environment and moving vehicles. The noise level in the work environment is typically moderate to noisy.


PHYSICAL/SENSORY REQUIREMENTS


Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

Store Support Center Associates


Provide leadership and support training on all Safety programs, processes and procedures, insuring that every associate is properly trained for their position.
Follow established Safety procedures in all aspects of work assignments applicable to the position. This includes participating in all Safety related training and acquiring certifications. Each associate is responsible for Safety at the Store Support Center and when visiting other company work locations. All Safety concerns must be brought to the attention of the management of a location and/or the Store Support Center Safety Department immediately.
