About the Role:

The Intake Specialist plays a critical role in the initial phase of client engagement by efficiently gathering, verifying, and processing essential information to facilitate seamless service delivery. This position serves as the primary point of contact for new clients, ensuring that all necessary documentation and data are accurately collected and entered into the system. The Intake Specialist collaborates closely with various internal departments to coordinate client onboarding and support timely follow-up actions. By maintaining meticulous records and adhering to compliance standards, this role helps uphold the organization's commitment to quality and client satisfaction. Ultimately, the Intake Specialist contributes to building strong client relationships and streamlining operational workflows from the outset.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Proven experience in a client-facing role, preferably in healthcare, social services, or related fields.
  • Strong organizational skills with attention to detail.
  • Proficiency in using computer systems and data entry software.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience working with electronic health records (EHR) or case management software.
  • Familiarity with relevant regulatory requirements such as HIPAA.
  • Background in customer service or administrative support within a healthcare or social service environment.
  • Ability to handle sensitive information with discretion and professionalism.
  • Bilingual abilities or multilingual skills.

Responsibilities:

  • Conduct thorough interviews with clients to collect personal, financial, and service-related information.
  • Verify the accuracy and completeness of submitted documents and data.
  • Enter and update client information in electronic databases and case management systems.
  • Coordinate with internal teams to ensure smooth transition and follow-up for new client cases.
  • Maintain confidentiality and comply with all regulatory and organizational policies regarding client information.
  • Respond promptly to client inquiries and provide clear communication regarding intake procedures.
  • Identify and escalate any discrepancies or issues encountered during the intake process to appropriate personnel.

Skills:

The Intake Specialist utilizes strong communication skills daily to effectively interact with clients and internal teams, ensuring clarity and understanding throughout the intake process. Must be fluent in Spanish. Attention to detail is essential for accurately collecting and verifying client information, which directly impacts service quality and compliance. Organizational skills are applied to manage multiple client cases simultaneously while maintaining thorough documentation. Proficiency with data entry and case management software enables efficient processing and retrieval of client records.
