PAYROLL SPECIALIST

 

JOB SUMMARY:

 

Responsible for maintaining the payroll system including paper and electronic timesheets for hourly team members. Responsible for computing, withholding, and deductions associated with net earnings.  

 

 DUTIES AND RESPONSIBILITIES:

 

  • Provide support for HRM system, including researching and resolving HRM system problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements.
  • Develop standard reports for ongoing customer needs and write, maintain and support a variety of reports or queries using appropriate reporting tools. Maintain data integrity in systems by running queries and analyzing data.
  • First point of contact for end user requests, trouble shooting, etc.; act independently to manage/resolve all HRIS systems issues/needs.
  • Maintain current knowledge of regulatory policies and procedures that govern time collection, payroll processing and taxation.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Compile team member time, production, and payroll data from time sheets and other records.
  • Ensure compliance with union contracts.
  • Review time sheets, wage computations, and other information in order to detect and reconcile payroll discrepancies.
  • Ensure compliance with company benefit policies, enforce approved pay practices, and ensure compliance both at the state and federal levels.
  • Administer calculations and processing related to pay adjustments, final paychecks, pay cards and pay differentials as necessary.
  • Analyze the reasons for payroll errors and work with Managers and Human Resources to resolve issues.
  • Ensure Team Member data changes are updated in the HRIS system.
  • Support the changes for union dues and benefit rate changes.
  • Identify and recommend opportunities for improvement and partner with the appropriate parties to test and implement new improvements.
  • Manage and process terminations.
  • Maintain attendance points system and policy.
  • Assist the local team with Leave of Absence and COVID leave process.
  • Manage and process bereavement.
  • Audit and update the pay rates to the CBA.
  • Process all employee transfers and promotions.
  • Audit employee onboarding.
  • Enter all the new employees’ salary.
  • All other duties as assigned.

 

EDUCATION AND EXPERIENCE:

 

  • Bachelor's degree preferred
  • Year of Experience:  5+ years or equivalent combination of education and experience.

 

TRAVEL: 

 

  • Travel Required: minimum and generally local

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Critical evaluation and consultation skills.
  • Ability to work collaboratively, as a member of a team, and independently with little supervision.
  • Experience with union payroll.
  • Experience with multi shifts payroll.
  • Experience with report writing and analysis of HR reports.
  • Knowledge of payroll, wage and tax laws and regulations.
  • Detail oriented, with ability to focus on and comprehend numerical and financial data.
  • Ability to work under time constraints and meet schedules/payroll deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to devise solutions to administrative problems and apply established business rules and requirements.
  • Ability to implement new systems and procedures and evaluate their effectiveness.
  • In-depth knowledge of HR information systems, specifically CERIDIAN DAYFORCE.
  • Advanced working knowledge of MS Office Suite, specifically MS Excel.
  • Excellent analytical skills and the ability to interpret data, identify trends and recommend solutions.
  • Strong communication skills and demonstrated ability to work effectively with all levels of the organization.
  • Ability to communicate effectively in both oral and written form.
  • Critical evaluation and consultation skills.
  • Ability to work collaboratively, as a member of a team, and independently with little supervision.
  • Project management skills and ability to effectively manage multiple projects simultaneously.
  • Skill in analyzing and organizing data.
  • Experience with report writing and analysis of HR reports.

  • Ability to implement new systems and procedures and evaluate their effectiveness.
  • In-depth knowledge of HR information systems, specifically Ceridian, SQL (Structured Query Language).
  • Advanced working knowledge of MS Office Suite, specifically MS Excel.
