About the Role:
The Purchasing Specialist plays a critical role in ensuring the seamless procurement of goods and materials necessary for retail operations. This position is responsible for managing the entire purchasing cycle, from generating purchase orders to coordinating with suppliers and internal departments to maintain optimal inventory levels. The specialist will work closely with supply chain and materials management teams to forecast demand, negotiate quotations, and ensure the timely delivery of products. By leveraging procurement software and material control techniques, the role aims to optimize costs while maintaining quality and compliance with company policies. Ultimately, the Purchasing Specialist contributes to the efficiency and profitability of the retail business by supporting a reliable and cost-effective supply chain.
Work Location: On-site in Auburn, Maine
Schedule: Full-time, Monday–Friday
Remote Work: This is an on-site position; remote work is not available.
Minimum Qualifications:
- High school diploma or equivalent; a degree or certification in supply chain management, business, or a related field is preferred.
- Proven experience in purchasing or procurement within the retail industry or a similar environment.
- Familiarity with purchase order processing and materials management principles.
- Basic proficiency in procurement software and Microsoft Office applications.
- Strong organizational and communication skills to manage supplier relationships and internal coordination.
- Experience with Outlook 365 is required
Preferred Qualifications:
- Experience with advanced procurement software systems and ERP platforms.
- Knowledge of supply chain management best practices and inventory control techniques.
- Demonstrated ability to analyze market trends and supplier performance to optimize purchasing decisions.
- Certification such as Certified Professional in Supply Management (CPSM) or equivalent.
Key Responsibilities and Accountabilities:
- Oversee the purchasing process and maintain appropriate inventory of sold goods
- Continuously evaluate product IR’s, EOM’s and other promotions to ensure that product is ordered at the appropriate time to maximize profitability
- Communicate pricing information with the sales team to ensure company profitability
- Execute the purchase of stock inventory and other specials as directed by Distribution Center/Inventory Manager
- Correct all invalid serial numbers, PO errors, model files, vendor information, and all other data in Epass to ensure database accuracy
- Allocate or facilitate the return of all unsold productÂ
- Ensure credits are being received for all returned goods and PDI’s
- Remove/add inventory to Epass as needed
- Upload and update pricing information in Epass as needed.
- Track all damage allowance credits to ensure they are being received
- Ensure credits for truckload specials, floor models, and all other trailing credits are being received as promised by vendors
Physical Requirements:
- Must be able to remain in a stationary position 50%
- Occasionally move about office to access files, speak to other employees, supervisor
- Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- Occasionally moves office supplies and equipment weighing 5-15 lbs.Â
