Overview

The Student Hospitality Employee provides administrative, logistical, and hospitality support for visiting artists and touring companies while gaining practical experience in arts administration, event management, and hospitality operations. The student employee works closely with multiple GPAC departments to help ensure a welcoming and professional experience for artists and guests. This role is ideal for students interested in arts administration, hospitality, event management, communications, or public relations.


Responsibilities

  • Assist with preparing, maintaining, and breaking down artist dressing rooms, green room, and hospitality spaces before, during, and after rehearsals, performances, and special events.
  • Coordinate artist hospitality needs, including organizing welcome materials, itineraries, schedules, backstage information packets, and completing local shopping as needed.
  • Help maintain artist hospitality inventory by tracking, organizing, and restocking beverages, snacks, supplies, and other backstage amenities.
  • Provide administrative support by organizing digital records, filing contracts, maintaining artist databases, and assisting with complimentary ticket requests, credentials, and backstage access lists as needed.
  • Assist with coordinating artist travel logistics, including hotel accommodations, ground transportation, and travel itineraries.
  • Support backstage operations and day-of-show logistics by coordinating event materials, monitoring schedules, responding to operational needs, and assisting artists, staff, and vendors.
  • Assist with vendor coordination, event setup and breakdown, guest services, and on-site logistics for GPAC performances, donor events, and other special events as assigned by the Managing Director.
  • Provide exceptional customer service while interacting with artists, artist representatives, vendors, volunteers, guests, and GPAC staff.
  • Support post-event organization, inventory, documentation, and evaluation activities.
  • Perform other related duties as assigned by the Managing Director.

Qualifications

  • Current Auburn University student in good academic standing.
  • Interest in performing arts, arts administration, hospitality, event planning, communications, or related fields.
  • Flexible schedule based on class availability.
  • Must be available to work evenings, weekends, and occasional holidays during performances and events.
  • Hours will vary based on the GPAC performance schedule.

Minimum Knowledge, Skills, and Abilities

  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Comfortable working in a fast-paced, team-oriented environment.
  • Proficiency with Microsoft Office 365 (Outlook, Word, Excel, Teams, OneDrive).
  • Ability to lift up to 30 pounds and perform occasional physical event setup.
