The purpose of this classification is to provide specialized administrative support for a diverse department. Incumbents in this classification provide specialized administrative support that requires a knowledge of departmental operations and procedures. Specifically, this position is to support a highly specialized compliance department that has 3 distinct divisions: Disadvantage Business Enterprise/Local Small Business Opportunity Program, Equal Employment Opportunity, and Americans with Disabilities Act, with executing the necessary daily job functions and to provide a much needed resource for the department.

KEY RESPONSIBILITIES AND PERFORMENCE STANDARDS:

  • Assists DBE Coordinator in contract data and program administration, tracking, and data entry, along with compiling the needed information for annual, semi-annual, and quarterly reporting. Processes a variety of documentation associated with department operations within designated timeframes and per established procedures; receives, reviews, records,types, and/or distributes documentation; enters data into computer systems; logs, tracks, or maintains records regarding department activities; and compiles data for further processing or for use in preparation of department reports; files, maintains, and stores hardcopy records.
  • Assists EEO Coordinator with intakes, investigation interviews, and departmental reports. Schedules all interviews. Assists with composing letters and reports of findings. Assists with compiling information and preparation of the EEO-4 report. Logs, tracks, and maintains all EEO cases in the Cityworks database as well as paper files. Attends and participates in various training programs.
  • Assisting ADA coordinator in compiling and maintaining data for the transition plan update and citizen ADA complaints.
  • Assisting in the maintenance of the compliance department’s records and ensuring the accuracy of those records.
  • Receives and sorts incoming documentation and materials: sends/receives documentation; distributes/delivers incoming faxes, mail, or other documentation to appropriate personnel; sorts, organizes, opens, and/or distributes incoming mail; signs for incoming packages and delivers to appropriate personnel; processes outgoing mail; and copies and distributes forms, reports, correspondence, schedules, agendas, or other documentation.
  • Performs customer service functions in person, by telephone, and by mail: provides information/assistance regarding department/division services, procedures, fees, or other issues; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution; receives payments for various fees, fines, or services: records transactions, posts payments, and issues receipts; balances cash drawers; prepares revenues for deposit; and forwards as appropriate.
  • Performs data entry functions by keying data into computer system; enters, retrieves, reviews or modifies data in computer database; scans documents into computer; verifies accuracy of entered data and makes corrections; indexes documents; and develops databases and computerized reports.
  • Perform other duties of a similar nature or level.

 

 

Qualifications

Education:    High school diploma or GED. Associate’ Degree preferred in a related field.

Experience:  Three (3) years of progressively responsible administrative program experience, involving program conformance monitoring, research, and report writing.

Knowledge/Skills/Abilities:

  • Considerable knowledge of modern office procedures and policies.
  • Familiarity with federal, state, and local laws, codes, and regulations such as federal 49 CFR Parts 23 & 26 and EEOC federal laws.
  • Principles and practices of contract compliance.
  • Proficiency in maintaining files and dealing with the public.
  • Demonstrated ability to work independently.
  • Good communication skills, both oral and written.
  • Interpersonal skills as applied to interaction with coworkers, supervisor, and the general public.
  • Provides excellent customer service, both internally and externally.
  • Ability to work on multiple tasks and shift priorities as needed.
  • Ability to keep highly sensitive information confidential.

Licensing/Certification:  Possess or have the ability to obtain and maintain  a valid State of Georgia Notary Public certification.

OTHER:

  • Travel is required from office to other locations.

  • Physical Abilities: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
  • Sensory Requirements: Some tasks require the ability to communicate orally.
  • Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
