Advanced Pediatric Associates is hiring a full-time Scheduling Coordinator in Aurora, CO. This role is ideal for candidates with experience in medical scheduling, medical records, patient coordination, healthcare administration, or customer service in a medical office setting.
The Scheduling Coordinator supports patients, families, providers, and clinic staff through appointment scheduling, patient communication, medical records coordination, insurance and demographic verification, and administrative support in a fast-paced pediatric healthcare environment.
This full-time position is based at our Administrative Office in Aurora, CO and offers a 4-day work week with occasional half-day Saturday shifts.
Salary Range
$17.00 – $21.00 per hour, based on experience and skills.
Responsibilities
- Schedule, reschedule, and cancel patient appointments
- Manage phone calls, emails, faxes, mail, and patient inquiries
- Process medical records and Release of Information (ROI) requests
- Maintain HIPAA compliance and patient confidentiality
- Verify and update patient demographic and insurance information
- Accurately document information within EHR/EMR systems
- Communicate professionally with patients, families, providers, and team members
- Support daily clinic and administrative operations
- Prioritize tasks and meet deadlines in a fast-paced environment

Requirements
Required Qualifications
- High School Diploma or equivalent
- Minimum one year of experience in medical records, scheduling, customer service, or a related healthcare role
- Experience working with electronic medical records (EMR) systems
- Knowledge of HIPAA, PHI, and confidentiality guidelines
- Strong technical and computer skills, including Microsoft Office and Adobe
- Excellent communication, organizational, and customer service skills
- Ability to manage multiple phone lines and respond promptly to inquiries
- Ability to accurately enter and update patient demographic and insurance information
- Strong attention to detail and ability to prioritize duties and meet deadlines
- Ability to maintain professionalism and composure in difficult situations
Preferred Qualifications
- Pediatric healthcare experience
- Experience processing Release of Information (ROI) requests
- Insurance verification experience
