TITLE: Community Assets Manager Ā Ā Ā FLSA STATUS: Exempt

REPORTS TO: Asset Director Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā Ā LOCATION: Mueller - Austin, TX


Summary

The Community Assets Manager (ā€œManagerā€) oversees the maintenance, operation, and stewardship of Mueller POA community assets, facilities, amenities, and common areas to ensure high standards of quality, safety, and functionality. This role manages day-to-day facilities operations, monitors asset performance, and coordinates maintenance activities and vendor services to support efficient operations and long-term asset sustainability. The Manager provides professional, responsive service while ensuring community property is well maintained and aligned with the Association’s operational goals and community standards.Ā 


Scope

Ā· Coordinate and monitor ongoing maintenance, repair, and improvement projects for Mueller POA community assets, facilities, amenities, and common areas; ensure work is performed in alignment with established maintenance standards and operational practices. Assist with the coordination of consultants, including site evaluations, internal concept development, and review of plans and specifications.

Ā· Monitor and perform maintenance of community structures, amenities, recreational facilities, lighting, landscape features, and other assets maintained by the Mueller POA. Participate in the annual planning and budgeting process; develop preliminary maintenance and asset management budgets for community property for review and approval. Monitor approved budgets against expenditures to ensure alignment; recommend cost-saving measures when appropriate; code and process invoices in accordance with accounting policies. Maintain and manage inventory of community assets, such as furniture, trash receptacles and related items, installed throughout the community; recommend repair or replacement as needed.

Ā· Prepare monthly and quarterly operational and asset management reports;

Ā· Respond to calls and questions from residents and stakeholder’s inquiries related to community property, facilities, and maintenance concerns; provide guidance and facilitate resolution of issues. Manage maintenance-related invoices and documentation, ensuring accurate coding and entry into applicable systems. Anticipate, analyze, and resolve field operational problems in a timely and effective manner.

Ā· Support organizational effectiveness by participating in team meetings, sharing best practices, and contributing to collaborative problem solving across the Cohere team.

Ā· Participate in Cohere’s Councils of Excellence and engage in ongoing personal and professional development aimed at expanding capabilities, knowledge, and passion for the work.

Ā· Conduct special projects and other tasks assigned by the Executive Director.


Knowledge | Experience

Ā· Education or professional experience in facilities management, construction, building trades, infrastructure maintenance, or related field. Strong understanding of engineering concepts, system maintenance and preventative maintenance.

Ā· Understanding of applicable health, safety, and risk management practices related to community facilities and operations. Experience coordinating and communicating with contractors, consultants, and technical service providers.

Ā· Ability to develop and implement maintenance plans, procedures, and operational improvements.

Ā· Strong organizational skills with the ability to manage multiple projects simultaneously.

Ā· Proficiency in Microsoft Office applications (Excel, Word, Project or similar).

Ā· Ability to communicate effectively with diverse stakeholders; bilingual Spanish skills preferred. Available to work evenings, weekends and holidays as needed to support community events and needs.

Ā· Must be able to lift at least 30 pounds, walk and stay on feet for long periods of time, physically able to complete execution of duties.

Work Environment and Physical Demands

Ā· The Maintenance Manager should expect to work a flexible schedule, including evenings, weekends, and some holidays.

Ā· Ability to provide one’s own transportation for off-site programs, meetings with partners, picking up necessary supplies, etc.; must have a current drivers’ license and an acceptable driving record.

Ā· The Maintenance Manager must frequently lift and/or move up to thirty (30) pounds and be on feet for extended periods, sometime in inclement weather.
