Summary
As the Front Office Administrator, you'll play a critical role in keeping daily operations running smoothly, providing exceptional customer service, supporting company events, and partnering directly with the executive team on administrative and coordination activities. This position offers valuable exposure to senior and C-suite leadership while serving as a key point of contact for employees, visitors, and vendors.
Key Responsibilities
- Serve as the first point of contact by answering and directing incoming phone calls
- Greet employees, clients, vendors, and visitors in a professional and welcoming manner
- Manage office supply and breakroom inventory, ordering materials as needed
- Coordinate employee lunches, meetings, celebrations, and company events
- Receive, sort, scan, and distribute incoming mail and packages
- Coordinate outgoing shipments through carriers such as FedEx and UPS
- Manage office equipment needs, including printer, scanner, and document shredding support
- Process and organize receipts and expense documentation within Concur
- Schedule and maintain conference room calendars and meeting spaces
- Track and distribute office keys and access items
- Provide administrative support to executive leadership, including:
- Calendar management
- Travel coordination
- Hotel reservations
- Meeting preparation
- Ordering and logistics support
- General executive assistance
- Calendar management
- Support special projects and additional administrative initiatives as assigned
Requirements
Qualifications
- Spanish fluency is highly preferredÂ
- 3+ years of administrative, office coordination, front desk, or office management experience
- Strong organizational skills and exceptional attention to detail
- Positive, professional, and customer-service-oriented attitude
- Excellent verbal and written communication skills
- Ability to effectively interact with executives, employees, vendors, and customers
- Strong multitasking and prioritization skills in a deadline-driven environment
- Ability to work independently while contributing to a collaborative team culture
- Professional judgment and discretion when handling confidential information
- Willingness to take on new responsibilities and support business needs as they arise
- High school diploma or equivalent preferred
Skills & Experience
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
- Experience managing calendars, scheduling, or administrative coordination
- Strong time management and follow-through skills
- Experience supporting multiple departments or senior leaders is a plus
- Familiarity with expense reporting systems such as Concur is helpful
