Front Office Coordinator

Role Summary:

Are you a welcoming, organized individual with excellent customer service skills? Join our physical therapy clinic team as a Front Office Coordinator where you'll be the first point of contact for our patients. We're seeking a detail-oriented professional who can create a positive first impression while efficiently managing administrative responsibilities to ensure our clinic runs smoothly and our patients feel valued from the moment they walk through our doors.

*We are open to part-time and full-time shift preferences.


Key Responsibilities

  • Greet and check in patients, verifying insurance and collecting required documentation 
  • Schedule and confirm appointments, managing the therapists' calendars effectively 
  • Answer phones professionally and direct calls appropriately 
  • Process patient payments and manage daily financial transactions 
  • Verify insurance benefits and obtain necessary authorizations 
  • Manage electronic medical records and ensure patient information is accurate and up-to-date 
  • Coordinate with clinical staff regarding patient flow and scheduling 
  • Maintain a clean and welcoming reception area 
  • Handle general office duties including patient documents and supply management 
  • Assist with insurance claims processing as needed 
  • Participate, as requested and with reasonable notice, in community outreach, local events, patient education, employer/school outreach, or relationship-building activities that support clinic growth, brand awareness, and community engagement. Frequency may vary by market, business need, and role.

Qualifications

  • High school diploma or equivalent required; associate's degree preferred 
  • 1-2 years of medical office or customer service experience 
  • Knowledge of medical terminology and healthcare office procedures 
  • Proficiency with electronic medical records systems and practice management software 
  • Strong computer skills, including Microsoft Office applications 
  • Excellent verbal and written communication skills 
  • Outstanding organizational abilities and attention to detail 
  • Ability to multitask effectively in a fast-paced environment 
  • Professional appearance and positive, friendly demeanor 
  • Knowledge of medical insurance and billing procedures preferred
