St. Edward's University of Austin, Texas invites applications for the position of Office Specialist VI: Transcript Evaluator. The Office Specialist VI: Transcript Evaluator provides accurate, timely evaluations of academic transcripts for incoming and continuing students by analysing diverse post-secondary coursework and prior learning credentials to determine course equivalencies and degree applicability per university standards.

For consideration, minimum qualifications include a Bachelor's degree and 3 years of direct administrative experience in higher education or related field. Preferred qualifications include a Bachelor's degree in Education, Communications, Business or a related field and 2+ years of direct experience performing transcript evaluation, course articulation, or degree audit reviews at a college or university, within a Registrar's Office, Admissions, Student Records or Academic Advising.

Essential Responsibilities Include:

  • Organize, review, and evaluate undergraduate transcripts from domestic and international institutions and enter acceptable credit into the student information system for new and matriculated students.
  • Match completed transfer work with approved off-campus course requests, verify grade requirements, and enter acceptable credit for matriculated students.
  • Organize, review, evaluate, and post acceptable college-level credit for standardized examinations (CLEP, AP, IB, DANTES/DSST), military service experiences (JST), and non-traditional prior learning assessments.
  • Consult with Department Chairs, Advising Specialists, and Academic Deans to build institutional equivalency guides and course articulations; assist in building and maintaining transfer equivalency databases.
  • Produce, verify, and distribute Transfer of Credit Approval reports, and process Transfer of Credit Amendment Requests to resolve degree audit discrepancies.
  • Research, monitor, and correspond with students regarding missing, incomplete, or partial transcripts; apply and remove academic registration holds accordingly.
  • Provide expert technical guidance and clear communication to advisors, deans, faculty, staff, and students regarding university transfer credit policies, procedures, and evaluation results.
  • Assist with graduation setup and commencement ceremony logistics as assigned.
  • Perform other related administrative duties as required to support the Registrar's Office.
  • Other duties as assigned, trained for and qualified to do.
