We are growing and hiring an Operations Assistant Admin in our Austin Branch—a critical role responsible for supporting daily operations through administrative coordination, data accuracy, and communication with internal teams and subcontractors. This position ensures that orders, installations, and billing processes run smoothly and efficiently

Schedule

· Monday–Friday, 8:00 AM – 5:00 PM 


What You’ll Do

· Support daily administrative operations within the branch 

· Review subcontractor work orders for accuracy and billing readiness 

· Enter and maintain installation data within company systems 

· Scan and organize documentation for billing and recordkeeping 

· Assist with open order reporting and monthly reconciliation 

· Coordinate material returns and assist with inventory tracking 

· Communicate with subcontractors regarding updates, documentation, and scheduling 

· Process orders and support installation scheduling as needed 

· Maintain inventory tags, office supplies, and operational documentation 

· Assist with vendor coordination and material ordering 

· Support branch operations with general administrative duties, scheduling, and coordination 

· Occasionally assist with warehouse-related tasks and branch errands

Qualifications

· 6 months of administrative or related experience preferred

· Bilingual (English and Spanish) 

· Strong communication skills (verbal and written) 

· Proficiency in Microsoft Office and ability to learn internal systems 

· Basic math skills (fractions, measurements, calculations) 

· Strong problem-solving and time management skills 

· Ability to work independently and within a team
