This role ensures the company has a steady flow of qualified, properly screened, event-ready employees to meet client commitments and operational staffing needs.  The ideal candidate is people-focused, organized, proactive, and comfortable communicating with applicants, new hires, employees, supervisors, managers, and the corporate team. This position requires strong judgment, urgency, follow-through, and the ability to balance hiring volume with quality, compliance, employee experience, and operational readiness.  Essential Duties and Responsibilities  Recruiting, Hiring, and Workforce Pipeline  Manage the full-cycle recruiting process for hourly event staff and security personnel, including job postings, applicant communication, interview coordination, hiring follow-up, and onboarding handoff.  Create, update, and maintain job advertisements that accurately reflect event staffing, security, and operational roles.  Screen applicants for availability, communication skills, professionalism, reliability, licensing requirements, and role fit.  Coordinate interviews, hiring events, job fairs, networking events, referral outreach, and community recruiting opportunities.  Initiate and monitor required pre-employment steps, including background checks, license requirements, eligibility review, paperwork completion, and onboarding readiness.  Maintain an active pipeline of qualified candidates to support high-volume event periods, seasonal demand, recurring venues, and urgent staffing needs.  Review former employees for rehire consideration in accordance with company rehire eligibility standards.  Communicate hiring trends, candidate flow, recruiting barriers, and staffing pipeline concerns to leadership on a regular basis.  Partner with scheduling and operations leadership to understand upcoming staffing needs and prioritize recruiting accordingly.  Onboarding and New Employee Experience  Coordinate new employee onboarding, welcoming, documentation completion, licensing steps, orientation communication, and first-shift readiness.  Ensure new hires understand company expectations related to attendance, communication, uniform standards, professionalism, event readiness, and scheduling responsiveness.  Support initial placement of new employees based on availability, qualifications, location, skill set, and event needs.  Follow up with new hires during the early employment period to support retention, answer questions, and identify concerns quickly.  Maintain a professional, realistic, and welcoming candidate and new-hire experience consistent with 5 STAR’s culture and operational expectations.  Employee Relations and Team Building  Build rapport with employees and understand their strengths, development areas, certifications, availability, event preferences, and placement fit.  Maintain open communication with Event Managers, supervisors, branch leadership, HR, and the 5 STAR corporate team.  Assist with office tasks, projects, and people-related follow-up, sometimes directly and sometimes indirectly, based on operational needs.  Assist Event Managers with deployment readiness and employee placement information when needed.  Promote company standards for reliability, professionalism, customer service, safety, teamwork, and respectful communication.  Performance Management and Employee Records  Assist in maintaining accurate employee records, including availability, onboarding status, licensing status, and other personnel-related data.  Recommend employees for recognition, preferred assignments, advancement opportunities, coaching, or removal from certain assignments when appropriate.  Systems, Compliance, and Reporting  Maintain accurate candidate, hiring, onboarding, and employee information in approved company systems.  Use Paycom, Celayix, Team XPress, applicant tracking tools, Microsoft Office, Outlook, and other approved systems to support hiring, onboarding, workforce tracking, and reporting.  Generate and share recruiting pipeline, applicant status, onboarding completion, licensing, hiring conversion, and retention reports as requested.  Identify process improvements that increase recruiting efficiency, candidate quality, onboarding consistency, compliance visibility, and new-hire retention.  Equipment and Event Readiness Support  Assist with inventory control for uniforms, radios, credentials, and other equipment or supplies needed for new hires and event readiness.  Coordinate distribution, recovery, and tracking of company-issued items as needed.  Assist with event or venue uniform, equipment, food, and supply needs when requested by operations leadership.    Authority and Decision-Making Responsibilities  This role is expected to make timely hiring and onboarding decisions within established company policies while escalating higher-risk or policy-sensitive matters to leadership. The following outlines the general scope of authority:  Decision Level  Scope of Authority  May independently  Communicate with applicants and candidates, schedule interviews, conduct initial screening, coordinate onboarding steps, maintain candidate records, support job postings, and recommend qualified candidates for hiring based on established criteria.  May recommend  Hiring decisions, rehire eligibility review, recruiting priorities, candidate disposition, onboarding process improvements, employee recognition, coaching, preferred assignments, and candidate/source strategy.  Must escalate  Background check concerns, licensing concerns, questionable rehire eligibility, applicant conduct issues, candidate complaints, urgent hiring shortfalls, policy exceptions, wage or offer questions, and any compliance or legal concern.  Requires approval  Final hiring decisions when required by company process, compensation decisions, policy exceptions, final disciplinary action, termination, employment classification decisions, and decisions outside established company procedures.    Measurable Performance Expectations  Performance evaluation based on hiring outcomes, onboarding completion, compliance accuracy, communication quality, employee retention, and support of operational staffing needs.  Performance Area  Measurable Expectation  Candidate pipeline  Maintain an active candidate pipeline aligned with upcoming event volume, seasonal demand, and staffing priorities.  Time-to-contact  Respond to qualified applicants promptly/prioritize urgent hiring needs based on event coverage risk.  Hiring conversion  Track applicant flow from application to interview, offer, onboarding, and first shift; identify if/where candidates are dropping off.  Onboarding completion  Ensure required onboarding documents, background checks, licensing steps, orientation items, and system entries are completed before deployment.  New-hire readiness  Confirm new hires understand attendance, communication, uniform, scheduling, and event-readiness expectations before first assignment.  Retention support  Monitor early-stage new-hire engagement and identify trends that affect retention.  Compliance accuracy  Maintain accurate hiring, onboarding, licensing, and personnel records in approved company systems.  Reporting cadence  Provide regular hiring pipeline, onboarding, and workforce readiness updates to leadership.  Recruiting outreach  Support job fairs, networking, referral efforts, and community recruiting events to strengthen candidate flow.    Required Qualifications  High school diploma or equivalent required; bachelor’s degree preferred.  Ability to obtain and maintain a Texas DPS Private Security Bureau Level II Guard Card within the company-required timeframe.  Minimum 2 years of experience in recruiting, hiring, onboarding, staffing, workforce coordination, human resources, event operations, hospitality, or another people-focused role.  Strong interpersonal skills and ability to communicate effectively by phone, email, text, video, and in person.  A strong sense of urgency, attention to detail, and ability to manage competing priorities in a fast-paced environment.  Ability to organize hiring information, follow up consistently, maintain accurate records, and protect confidential employee and applicant information.  Professional judgment and discretion when handling applicant information, background check matters, employee records, and personnel decisions.  Proficiency with Microsoft Office, Outlook, cloud-based systems, and hiring, scheduling, or workforce management software.  Valid driver’s license and reliable transportation for occasional recruiting events, job fairs, event-site support, and supply coordination.  Ability and willingness to work a flexible schedule, including recruiting events, evenings, weekends, holidays, and event-related support periods.  Preferred Experience and Skills  Bachelor’s degree in Human Resources, Business, Communications, Hospitality, Operations Management, or a related field.  Experience using Celayix, Team XPress, applicant tracking systems, scheduling systems, background check platforms, or similar workforce management tools.  Experience recruiting or onboarding hourly employees in event staffing, event security, sports and entertainment venues, hospitality, retail, customer service, or large-scale operations.  Experience with high-volume recruiting, hiring events, job fairs, employee referral programs, and community recruiting partnerships.  Familiarity with Texas security licensing requirements, event operations, venue credentialing, uniforms, radios, and deployment expectations.  Experience tracking recruiting metrics, applicant conversion, onboarding completion, candidate drop-off, and new-hire retention.  Bilingual English/Spanish communication skills are a plus.  Work Environment and Physical Requirements  Primarily office-based with regular communication by phone, email, text, and company systems throughout the day.  Regular attendance at recruiting events, job fairs, onboarding sessions, and event sites may be required.  Must be able to work in a fast-paced environment with frequent interruptions, changing priorities, and time-sensitive hiring needs.  Must be able to sit, stand, walk, use a computer, communicate by phone, and occasionally lift or move up to 25 pounds of uniforms, radios, supplies, or event materials.    Company Overview  5 STAR Event Services is a licensed full-service event security and staffing company specializing in the sports and entertainment industries.
