We’re looking for a highly organised, proactive Recruitment Coordinator to join our growing team. This is a role for someone who loves making things happen, enjoys working with people and takes pride in getting the details right.

Recruitment experience isn't essential. What matters most is that you're organised, confident communicating with different people, comfortable juggling multiple priorities and naturally inclined to solve problems before they become problems.

About the role

This is a varied, hands-on role where no two days are quite the same.

You’ll be at the heart of the interview process, coordinating everything from diaries and interview rooms to candidate travel and NDAs. You’ll work across multiple time zones and departments, keeping candidates, interviewers and Talent Acquisition Partners (TAPs) informed every step of the way.

You'll also support the wider Talent team with referrals, systems, data and general administration — helping us deliver a great experience for everyone involved.

Responsibilities Include:

  • Coordinating interviewsacross multiple time zones, departments and interviewer panels.

  • Managingreschedules and diary changes, keeping TAPs up to date with interviewer availability.

  • Coordinatingface-to-face interviews and assessment days, including being onsite when required.

  • Arrangingcandidate travel and expenses, working closely with our Travel and Accounts Payable teams.

  • Booking interview rooms throughour ATS and other systems, making sure everything is ready for candidates and interviewers.

  • SendingNDAsto candidates and ensuring they're completed ahead of interviews.

  • Managing thereferral inbox, reviewing CVs and adding referrals to the appropriate Greenhouse requisitions.

  • Keeping day-to-day communication moving acrossSlack, Outlook and Zoom.

  • Supporting the Talent team withgeneral administration, including spreadsheets, interviewer availability, data and system housekeeping.

  • Spotting opportunities to improve how we work and helping make our processessimpler, smoother and more efficient.

Skills Required:

You don't need previous recruitment experience. You might come from recruitment, coordination, operations, hospitality, events, executive assistance, customer service — or somewhere completely different.

Where we use AI

  • AI Agents for sourcing: Weve deployed a number of AI agents to do the manual lift to source and reach out to incredible talent, however once you reply to a message this is where our Talent partners take over.

  • Consented note-taking: A notetaker joins interviews so the panel can look you in the eye instead of typing. You’ll see it in the call — ask us to turn it off anytime.

  • Debrief summaries: AI drafts a first-pass summary for the hiring team. Humans read it critically and overwrite it before any decision.

  • Research and preparation: We use AI to prepare properly for you — your background, your questions, your time respected.

Where you can use AI

  • Prep & research: Use Claude, ChatGPT, whatever helps — draft answers, pressure-test stories, research us. It’s how we work too.

  • The exercise: Should you be asked to do a short exercise, use every tool you’d use on the job. This is a window into how we consult with clients every day — and AI is part of how we work.

  • Better questions for us: Use AI to generate questions for our founders. The best questions are the hard ones — bring them.
