Job DetailsJob Location: Austin Showroom - Austin, TX 78752Position Type: Full TimeJob Category: Admin - ClericalThe Showroom Coordinator keeps the showroom polished, welcoming and ready for clients, employees and events. This hands-on role oversees the day-to-day appearance and hospitality of the space, including kitchen upkeep, refreshments and food preparation. The coordinator also provides accurate, timely clerical support to the Project Coordination team as workload requires. Key Responsibilities Showroom Readiness & Hospitality Open, inspect and reset the showroom so client-facing, meeting and common areas remain clean, organized, welcoming and presentation-ready. Maintain furniture displays, accessories, literature and finish/material samples; straighten, replenish and report damaged, missing or outdated items. Welcome clients, guests and vendor partners; notify the appropriate team member and help guests navigate the showroom. Monitor and restock showroom, beverage, kitchen and restroom supplies; coordinate routine supply orders within established guidelines. Coordinate with internal teams and service providers to address housekeeping, maintenance or facility needs that affect the client experience. Kitchen, Refreshments & Events Maintain the showroom kitchen, coffee and beverage stations, appliances, serving pieces and storage areas in a clean, orderly and fully stocked condition. Prepare and serve coffee, beverages, snacks and light food for client meetings, employee gatherings and showroom events. Assist with event setup and breakdown, including room arrangements, catering coordination, food presentation, serving, dishwashing and final cleanup. Track food and beverage inventory, check expiration dates and communicate replenishment needs to the appropriate manager. Follow company procedures and applicable food-safety, sanitation and allergen-handling practices; promptly communicate dietary or safety concerns. Project Coordination & Administrative Support Provide clerical support to the Project Coordination team as assigned, balancing requests with scheduled showroom and event responsibilities. Assist with data entry, document preparation, copying, scanning, filing, record organization and electronic folder maintenance. Help prepare, assemble and distribute project documentation, meeting materials, closeout information and other routine correspondence using established templates and processes. Update trackers and internal systems, route documents for review, and follow up on routine missing information as directed. Maintain confidentiality, accuracy and organized records while meeting established deadlines. Perform other related duties as assigned in support of showroom operations and Project Coordination. Qualifications High school diploma or equivalent required; additional administrative, hospitality or food-service training is a plus. Prior experience in hospitality, customer service, office administration, event support or a similar client-facing role preferred. Strong organization, follow-through and time-management skills, with the ability to shift priorities and manage recurring details. Professional, service-oriented communication skills and comfort interacting with clients, vendors and cross-functional teams. Proficiency with Microsoft Office, including Outlook, Word and Excel; ability to learn company systems and follow established processes. Careful attention to detail, dependable attendance and willingness to perform both hospitality and clerical work. Work Environment & Physical Requirements Availability to support occasional early-morning or after-hours showroom events may be required with advance notice.
