Position Summary

The Receiving Manager is responsible for receiving, inspecting, maintaining, storing, issuing, and reporting on all purchased materials delivered to the site as well as materials delivered to offsite fabricators. This position is based in Ward County, TX, and will require relocation to this area. You may also be required to relocate to the area of any future projects that you may be assigned to.


Duties and Responsibilities

Receiving Process

  • Set up grid locations for all warehouse storage to properly note temporary or long-term storage locations (indoors and outdoors) as well as laydown yards onsite and off-site if applicable, and log location of all materials stored in areas.
  • Upon delivery, note and document any visible damage possibly caused during transport. Ensure the driver’s freight bill is properly noted on driver’s copy and site copy contains notation of damages.
  • Review weights, dimensions, storage requirements, and check for any MSD information for each piece prior to offloading.
  • Open all packages/crates, perform complete inventory and compare shippers packing lists for part number and quantities shipped.
  • Compare the Vendor packing list mark-up against Gemma Power Systems’ PO (Purchase Order) or Client-provided PO to confirm receipt matches the order.
  • Issue a control or MRR (Material Receipt Report) number from the MRR Log and record MRR & PO number on product packing slip. Denote storage location on vendor supplied packing list.
  • Record the receiving data on the MRR form including actual date received, PO Number, vendor name, shipper’s name, carrier’s name and reference numbers in the header, and PO item numbers, quantities, units of measure, description, storage locations and Overage/Shortage/ Error/Damage Report (OSED) information.
  • Scan a copy of MRR into an MRR folder within each PO folder on the shared drive for staff and accounts payable access.
  • Generate daily receiving report as well as master receiving log to be issued by 12:00pm the following day.

Overage/Shortage/Error/Damage (OSED) Reporting Process

  • Generate OSED report for any discrepancies in any shipments.
  • Must be able to recognize overages, both against the PO and against the packing list.
  • Report any shortages when receiving less than the quantity vendor claims as “shipped” on their packing list.
  • Issue error reports when a vendor ships an item that does not match items detailed on the PO, or may be incorrect for reasons such as wrong size, wrong material, wrong part number, etc.
  • Document any and all damage with pictures. Note and record all visible damage on the carrier’s freight bill.
  • Forward all OSED reports to the vendor of record, regardless of whether it was a 3rd party shipment.

Database Development

  • Create and maintain a master database or filtered Excel spreadsheet for tracking receiving, storage and issuing of all permanent plant materials, including: Valves; Instruments; Fabricated Pipe Spools; Structured Steel; Cable Trays; Cable Trenches; Wires/Cables; Mechanical Specialties; Turbine Materials; and HRSG Materials.

Filing of Site Purchase Orders

  • Scan original packing slips and place them into MRR folders within the correct PO folder after verifying material against the PO.
  • Store and retain all original packing slips.

Physical Requirements

  • Must be comfortable with frequently standing or moving around a heavy construction environment.
  • Exposure to loud noise, rugged or uneven environments, and varying weather conditions, including extreme heat or cold.
  • Ability to perform repetitive movements, including reaching, grasping, and working overhead.
  • Ability to stand, walk, stoop, kneel, squat, crawl, and twist.
  • Ability to frequently lift and/or push or pull up to 25 pounds and occasionally lift and/or push or pull up to 50 pounds.
  • Possesses adequate vision to perform all required tasks.
  • Ability to move in & around confined and cluttered places and uneven areas.
