Registration Specialist – Primary Care (Onsite) 

Location: IU Health West Hospital – Primary Care 
Schedule: Monday–Friday, 8‑hour shift 
• Must be flexible to start between 6:30 AM and 8:30 AM 
• Onsite position 

 

Position Overview 

The Registration Specialist supports primary care operations by providing exceptional customer service and facilitating patient flow from arrival through departure. This role ensures accurate patient registration, scheduling, insurance verification, and communication while working closely with patients, providers, nursing staff, MAs, and clinic leadership. 

 

Key Responsibilities 

  • Greet and assist patients with check‑in and check‑out 

  • Schedule appointments and manage clinic workflows 

  • Work insurance and demographic queues to ensure accurate records 

  • Answer incoming calls and route patients and visitors appropriately 

  • Collect and validate patient demographic and insurance information 

  • Explain department policies, charges, and payment expectations 

  • Enter information accurately to support reimbursement and clinical outcomes 

  • Communicate effectively with patients, providers, nursing teams, MAs, and managers 

  • Support primary care clinic operations with professionalism and efficiency 

  • Requires the ability to take initiative and meet objectives 

  • Requires effective written and verbal communication skills.  

 

 

Training & Onboarding 

  • IU Health–mandated computer‑based training 

  • Position‑specific training 

  • Hands‑on, precepted training 

  • Skill check‑offs 

  • Regular touchpoints with preceptor and manager 

 

Benchmarks for Success 

  • 3 Months: Fully trained 

  • 6 Months: Proficient in all role responsibilities 

  • 12 Months: Able to train and support new team members

  • Comfortable working with technology and multiple systems 

  • Effective communication and interpersonal skills 

  • Personable, efficient, and team‑oriented 

  • Ability to de‑escalate situations professionally

Qualifications 

  • High School Diploma or GED required 

  • Prior experience in a healthcare setting preferred 

  • Ability to learn and retain medical coding concepts (ICD‑10, CPT preferred) 

  • Ability to interpret insurance information 

  • Knowledge of medical terminology and clinical practices preferred 

  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint)
