We are searching for an Office Administrator / Clinic Receptionist to represent our organization as the first point of contact for both clients and staff at our clinic location in Avondale. This position will coordinate and perform duties to ensure the clinic operates efficiently and smoothly including opening and/or closing the clinic (the work schedule is 9:45 a.m.- 6:15 p.m.) In addition, they will help to support the daily tasks and programs of the clinical team. 

This is a full-time position with a comprehensive benefits package. The starting pay range is $21.00 - 24.00 per hour (depending on experience and education). 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Open and/or close the clinic (depending on work schedule)
  • Greet families and visitors; check clients in and out of service appointments with clinicians; resolve challenges effectively
  • Answer all main line office calls and route callers appropriately
  • Manage the mail and faxes for the clinic
  • Assist Human Resources in greeting and assisting new staff (I.e., completing I-9 forms, notarizations, etc.)
  • In conjunction with the Facilities Department, help carry out and implement procedures for ensuring the facility meets or exceeds all location-specific requirements (i.e., fire inspections, cleaning and sanitation procedures, evacuation drills, etc.) and assist and help manage facilities related issues as they arise
  • Communicate and coordinate with outside vendors as needed
  • Perform light cleaning and organization, sanitizing the reception area
  • Maintain supplies and inventory for administrative and clinical staff
  • Aid the Quality Assurance Department in maintaining certification records in various databases
  • Support Clinical Scheduling by contacting families and staff when cancellations occur, maintaining current calendars, and other scheduling functions as needed
  • Carry out other Administrative projects as assigned

QUALIFICATIONS & REQUIREMENTS

  • HS Diploma or GED required (Proof of education is required for during onboarding)
  • Some administrative experience required
  • Experience working with confidential information
  • Good working knowledge of Microsoft Office, Word and Excel
  • Successful experience in a role that required strong organizational skills and a high attention to detail
  • Experience with or knowledge of autism spectrum disorders preferred
  • Must be able to successfully pass a fingerprint clearance check and other related hiring requirements
  • Bilingual a plus
