Position Description:
The Maintenance & Safety Coordinator is responsible for the execution and administration of the company's preventive maintenance and safety programs across multiple facilities. This role ensures consistent documentation, regulatory readiness, and operational follow-through, while supporting facilities leadership through coordination and reporting.
This position focuses on execution, tracking, and compliance, not strategic decision-making or capital oversight.
Responsibilities include, but are not limited to:
- Administer and maintain the company safety program under Director guidance
- Schedule, document, and track:
- Fire drills
- Extinguisher training
- Safety meetings
- Emergency preparedness activities
- Maintain safety logs, reports, and compliance documentation
- Coordinate safety vendors, inspectors, and trainers
- Track corrective actions and ensure completion
- Prepare safety documentation for audits and inspections
- Manage preventive maintenance schedules across all facilities
- Track PM completion rates and follow up on missed tasks
- Coordinate PM vendors and service visits
- Maintain asset lists, inspection logs, and PM records
- Prepare monthly PM status reports for Director review
- Track maintenance requests and work orders
- Coordinate with Maintenance Manager on repairs and PM tasks
- Schedule vendors and site access
- Maintain service documentation and records
- Escalate issues involving safety risk, repeat failures, or scope concerns
- Support administrative coordination of onsite security personnel
- Track guard schedules, post orders, and incident logs
- Maintain access request documentation
- Assist with incident reporting and follow-up
- Coordinate with security vendors as directed

Time Commitment
Full time (40 hours per week), Monday – Friday 9AM-5PM.
Occasional schedule flexibility may be required to support safety drills, inspections, or vendor service windows.

Qualifications and Education Requirements:
- 2–5 years experience in maintenance coordination, safety administration, or facilities support
- Strong documentation and organizational skills
- Vendor coordination experience
- Comfort working in regulated environments
- Clear written and verbal communication
