VALUES:  Accountability ~ Integrity ~ Dignity ~ Diversity & Inclusion ~ Ingenuity ~ Opportunity DEPARTMENT:   Human Resources SUPERVISION RECEIVED:   Vice President of HR, Safety, LP & Facilities              SUPERVISION EXERCISED:   None CLASSIFICATION:  Non-Exempt   POSITION SUMMARY:  To provide excellent customer service by answering incoming calls and greeting participants, employees, applicants and other visitors to Goodwill.  Perform clerical and resource support to the Human Resources Department including, filing, copying, collating, and greeting. Provides high-level administrative support by handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Run all recruiting efforts for the company.   Standards of Performance and Conduct (each is an essential function): Ensure actions are consistent with Goodwill ethics, policies, procedures, goals and mission. Work collaboratively with management and staff to achieve overall organizational goals. Consistently maintain acceptable level of productivity, ensuring accounts payable/disbursement functions are completed accurately and timely.   Punctual and regular in attendance, understanding that time away from work is approved and taken in accordance with established policies. Perform duties in a manner that promotes a team concept and reflects Goodwill’s mission, philosophy, and core values of accountability, integrity, dignity, diversity, ingenuity, excellence, opportunity and responsibility.  Work in accordance with Goodwill policies, procedures and generally accepted business practices. Promote a favorable image and works cooperatively with all organization employees, participants, customers and other persons contacted during the course of performing duties. Maintain strict confidentiality in all aspects of work; comply with privacy and confidentiality policies. Attend required safety training and participate in safety drills and exercises. Safeguard company property, including donated goods. Essential Duties and Responsibilities include the following:  Other duties may be assigned. Answers incoming phone calls, or takes necessary messages. Greets incoming customers, clients, applicants and other visitors and responds to requests for information and/or contacts appropriate staff member. Uses exceptional interpersonal skills such as courtesy, sensitivity, politeness, and thoughtfulness and communicates information and ideas clearly. Assists with applicant processing within recruitment software.  Accepts and creates Job offers, manages candidate communication. Responsible for coordinating internal and external interviews. Sets up and manages onboarding and orientation for new employees on a bi-weekly basis. Files and manages Human Resources documents, records, and reports by utilizing HRIS systems and payroll systems to maximum capacity.  Complete E-verify, and employment verifications. Works in support of the HR Generalist to ensure HR services are provided to stores as our clients. Assist the VP and HR Generalist with new self-insured benefits system, reports, and statistics. If necessary, assist lead investigator with HR cases or complaints. Conducts Community Service Participant Orientation and manages participant files. Files and manages general, documents, records, and reports. Coordinate the audit and retirement of aged files. Promotes and demonstrates cooperation and teamwork.  Assists and shares knowledge and information with other employees as needed. Orders shirts for new employee try-on room and for employee annual re-orders.  Keep try-on room organized and clean. Complies with Safety and Loss Prevention policies and procedures. Report and document safety hazards, potentially hazardous conditions, and unsafe practices and procedures.     Maintain a high level of confidentiality. Attends and registers HR staff meetings and training sessions as required. Follow safety policies and procedures and enforce safe working conditions at all times.  Responsible to work safely at all times and to report all workplace injuries, accidents, or near misses to supervisor and/or Safety Manager. Report any incident of theft, fraud, waste or unauthorized possession of company property. Perform other duties as assigned that would lead to successful operation of department, team and/or missionQualificationsQUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the required knowledge, skill and/or ability. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.   Education and/or Experience:  Intermediate mathematical skills and the ability to read English.  Bilingual (Spanish/English) a plus, but not required.  Advanced knowledge of Microsoft Office and keyboarding. Two years Human Resources or Administrative Experience preferred.  Some interviewing experience desirable.  Excellent interpersonal communication skills in order to interact with all levels of management, employees, clients, and the public.  Because travel to an from stores may occasionally be required, a valid California driver’s license, vehicle insurance, and a DMV record acceptable to Goodwill's insurance company.   Language Skills:  Ability to effectively present information and respond to questions from groups, managers, employees, clients, customers, and the general public using tact, courtesy and cooperativeness.   Reasoning Ability:  Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions and deal with several abstract and concrete variables; exercise judgment, resourcefulness, ingenuity and initiative.   Other Skills and Abilities:  Effective interpersonal and communications skills to interact effectively with all levels of management and staff.  Willingness and ability to become an in-house expert on HRIS systems preferred.
