Under direct supervision, schedules initial interview and intake appointments for patients, type correspondence and reports: answers telephone and gives information and performs related clerical duties as directed. Support Kaiser physicians and Therapist in Behavioral Health Service.
Essential Responsibilities:
- Schedules appointments for psychiatric patients on OPAS. Â
- Contact patients by telephone or correspondence to notify them of appointment changes or to re-schedule.
- Answers telephones and relays messages.
- Answers requests for medical information from outside providers and governmental agencies per Kaiser Permanente protocols.
- Transcribes psychiatric consultation summaries from physician notes.
- File summaries in patient case records and distribute copies to appropriate personnel as directed.
- Maintain confidentiality of medical records.
- Types correspondence, memorandums, forms, reports and statistical reports pertaining to departmental activities.
- Sort and distribute mail (inter-office and postal mail).
- Clerical support: file correspondence and reports, makes copies of documents.
- Call in prescriptions. Â
- Order lab tests.
- Maintain office supplies and re-order as needed.
- May assist in reception by checking in patients and receiving co-payments.
- Establishes and maintains courteous, cooperative relations with interaction with other personnel, providers, health plan members and the public. Â
- Call patient from waiting area and place in exam rooms.
- Key DKAs into automated system.
- Arrange for patient admission, transfer, or discharge.
- Arrange for transportation of non-ambulatory patients.
- Complete and forward chart request forms.
- Complete patient processing forms such as admission/discharge documents, chart request, surgery request forms, and obtain patient authorization signatures.
- Complete disability requests for providers.
- Fill out laboratory, x-ray requisitions, and specialized test forms.
- List referrals from physicians.
- Notify appropriate personnel of abnormal lab test results.
- Verify patient/member eligibility.
- Maintain physician and therapist schedules.
- Notify patients of appointments/scheduling changes by phone or mail.
- Prepare physician and therapist schedules.
- Answer member inquiries.
- Explain hospital regulations and policies.
- Explain TRRS policies.
- Transcribes psychiatric consultation summaries of physician notes.
- Type correspondence, memorandums, forms, reports, statistical reports.
- Assist in reception by checking in patients and receiving co-payments.

- Copy documents.
- File patient summaries.
- Maintain office supplies and re-order as necessary.
- Request charts.
- Answer and route telephone calls.
- Screen patient calls and take messages for providers.

• Previous mental health experience
• Typing 40 wpm
• Typing score must be current within one (1) year. Please contact Human Resources for testing

• Excellent organizational and interpersonal skills
• Proficiency with PC required
