Position Summary
The Specialist Assistant will provide administrative, organizational, and program support to help ensure that Universal Home Health Care operates efficiently and that staff and individuals receiving services have the necessary support. The ideal candidate should be dependable, detail-oriented, professional, and able to manage multiple responsibilities while maintaining confidentiality.

- Assist with daily administrative and program-related tasks.
- Support the Program Director and office staff with assigned duties.
- Maintain and organize client and staff records.
- Assist with preparing, reviewing, and filing documentation.
- Monitor staff documentation and assist with ensuring required records are completed accurately and on time.
- Assist with scheduling staff, appointments, meetings, and other activities.
- Follow up with staff regarding missing or incomplete documentation.
- Assist in maintaining client binders and ensuring required documents are up to date.
- Support staff with administrative questions and concerns.
- Assist with training coordination and staff communication.
- Help maintain accurate service and attendance records.
- Assist with quality assurance and compliance activities.
- Communicate professionally with staff, clients, families, and other stakeholders.
- Handle confidential information appropriately and maintain privacy.
- Assist with preparing reports, spreadsheets, correspondence, and other office documents.
- Perform other administrative and program-support duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, Human Services, or a related field preferred.
- Previous administrative, healthcare, human services, or office experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office, including Word and Excel.
- Ability to maintain confidentiality.
- Ability to work independently and as part of a team.
- Ability to manage multiple tasks and meet deadlines.
- Professional, dependable, and compassionate attitude.
