Position Summary:

Provide administrative support to the Property Management team. This position involves the coordination of meetings and conferences, working on special projects; also answers all phone lines and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.

Responsibilities:

- 路 Provide direct support and customer service to tenants and employees.
- 路 Manage calendar: schedule and coordinate complex activities, such as meetings, appointments, and travel arrangements.
- 路 Organize and prioritize large volumes of information and phone calls for department and respond promptly to requests for information.
- 路 Appropriately direct incoming calls and emails to necessary staff based on level of importance.
- 路 Answer incoming calls in a cheerful and professional manner.
- 路 Prepare and coordinate mail, faxes, and express packages.
- 路 Perform data entry and scans documents.
- 路 Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software
- 路 Manage and coordinate the filing and storage system.
- 路 Maintain office supply/stock levels for running daily office operations.

Qualifications:
- Proactive and extremely organized
- 2-4 years minimum experience as an Administrative Assistant is required
- Ability to multi-task and prioritize responsibilities in a fast-paced environment
- Strong attention to detail
- Highly proficient in using MS Office suite including PowerPoint and Excel and the Internet to perform daily office tasks
- Working knowledge of principles and practices of office
- Ability to follow procedures and written and oral directives effectively
- Exceptional written and oral communication
- Personable and energetic, with a great phone presence
- Ability to self-direct and recognize needs of the office and staff as they arise
- Valid Drivers License
