We’re searching for a highly organized and proactive Administrative Office Assistant to support daily operations and work directly with company leadership. Key Responsibilities
• Serve as the first point of contact by greeting visitors, employees, applicants, and vendors professionally
• Answer, screen, and route incoming phone calls; respond to routine inquiries
• Coordinate meetings, prepare agendas, record minutes, and distribute documentation
• Assist with paperwork and general administrative tasks
• Support Human Resources functions including onboarding, maintaining personnel files, payroll documentation, and recordkeeping
• Scan, upload, and organize electronic personnel files and training records
• Manage office supplies, oversee office operations, and handle vendor communication
• Assist with special projects and provide cross-department administrative support as needed



Qualifications
• High School Diploma or GED required
• 2–4 years of progressively responsible administrative or executive support experience
• Experience supporting executive leadership in a professional office environment
• HR or employee onboarding experience is a plus
• Strong organizational, communication, and customer service skills
• Ability to manage multiple priorities while maintaining accuracy and professionalism
• High attention to detail and commitment to confidentiality

Technical Skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)



Bonus Skills

• Familiarity with invoicing, bookkeeping, payroll support, or financial documentation 

• Experience in the construction or manufacturing industry is a plus


Work Environment & Expectations
• Full-time position, Monday–Friday
• Standard business hours (typically 7:30 a.m. – 4:00 p.m.)
• Fast-paced, professional office environment supporting a growing company
• Ability to multitask, maintain confidentiality, and adapt to changing priorities
