Residence Life Coordinator for Housing Operations

Position Summary
The Residence Life Coordinator for Housing Operations supports a safe, well-maintained, and student-centered residential environment across NDMU's residential facilities. This position oversees daily housing operations, facilities coordination, vendor partnerships, and logistical processes that ensure an exceptional residential experience.
Working closely with Facilities Management, Public Safety, Custodial Services, and other campus partners, the Residence Life Coordinator manages operations related to residence hall opening and closing, room inspections, damage billing, and furniture management. The position also serves as a key liaison with external vendors and supports the operational functions of the Office of Housing & Residence Life.

Primary Duties & Responsibilities Campus Partner Collaboration
- Serve as departmental liaison with Facilities, Custodial Services, Environmental Health & Safety, Public Safety, and other partners to maintain high-quality residential environments.
- Plan and facilitate regular operations meetings to review procedures and coordinate ongoing work.
- Coordinate preparation of residence halls for opening each academic term.
- Track and follow up on maintenance and custodial requests; provide updates to students and staff.
- Conduct regular building inspections with Residence Life and Facilities to ensure cleanliness, safety, and repair needs.
- Manage student property damage claims related to facilities issues.
Vendor and Contract Management
- Oversee moving services, including supervision of crews and weekly scheduling.
- Manage residence hall furniture inventory, storage, removal, and installation.
- Assist with coordinating extermination services and maintain a preventive pest management program
- Oversee laundry services, service requests, and vendor partnerships.
- Manage student rental programs (e.g., microfridges), including contract coordination and delivery/pick-up processes.
- Provide vendors with building access and ensure compliance with university protocols.
Housing Operations & Administrative Support
- Develop educational materials regarding residence hall procedures and safety protocols.
- Assist with training for RAs and professional staff regarding operational procedures, environmental health and safety, and emergency protocols.
- Support staff selection processes, departmental events, and committee work as needed.
- Participate in the on-call rotation and support crisis response.
- Participate in departmental meetings and day-to-day operations within Housing & Residence Life
Check-In/Check-Out & Building Transitions
- Lead residence hall opening and closing processes in collaboration with the housing staff
- Supervise room set-up to ensure correct room and apartment setups prior to student arrival.
- Coordinate room assessment processes and inspections at the start and end of each term.
Room Inspections & Damage Billing
- Maintain and update housing floor plans and room configuration databases.
- Oversee room condition reporting and damage billing processes
- Train and support Residence Life staff in room inspections and end-of-year damage billing procedures.
Required Qualifications
- Bachelor's degree required.
- Minimum of 2 years of experience in housing operations, residence life, facilities coordination, or a related area.
- Strong written and oral communication skills.
- Excellent interpersonal and relationship-building skills.
- Demonstrated organizational and planning abilities.
- Ability to collaborate effectively with professional, paraprofessional, and administrative staff.
- Commitment to the mission and values of Catholic higher education.
- Proficiency with word processing, spreadsheets, and data management systems.
Preferred Qualifications
- Master's degree in Student Affairs, Higher Education Administration, or related field.
- Experience coordinating vendor services or facilities-related operational processes.
