The Opportunity

This is a contract position with the opportunity to make a significant impact while supporting a growing organization. This role is expected to be on site in our Bedford, MA office. 


Essential Responsibilities


Office Operations

  • Proactively identify the needs to build and run daily office activities including establishing and maintaining electronic and hard copy filing systems, and mail   
  • Assist as appropriate in managing office systems including telecom, information systems, office supply management
  • Assist in management of day-to-day interactions with vendors including facilities, IT, HR, finance, and legal service providers   
  • Assist in management of activities related to ordering and receiving of supplies and equipment
  • Kitchen Management  
  • Primary responsibility for coordinating and executing on new facility set up, launch and ongoing workspace optimization 
  • Assist building security team as it is needed such as providing list of guest or vendor loading dock access, being an emergency contact point for the building 
  • Coordinate company meetings, events, and employee activities by managing logistics, vendors, and communications

Executive & Leadership Support 

  • Work closely with CEO and team to ensure excellent customer visit experience 
  • Provide day-to-day administrative support to key members of the Company, Management Team, and Key Consultants including travel support, as well as scheduling Board, Clinician advisor and other business meetings 
  • Assist with travel and expense filings of CEO 
  • Extend CEO personal communications, follow up with events & travel 
  • Develop executive preference profile 

Human Resources Coordination  

  • Assist HR team with coordination activities
  • Work with HR consultant and HR Manager as needed; assist in administering benefit programs, develop and maintain personnel files ensuring all necessary and relevant paperwork is completed. 
  • Work with team to support staffing needs of business. Working with management to lead staffing initiatives to schedule candidates, identify and source possible candidates. Potentially work with recruiters, job boards, and LinkedIn to source highly qualified individuals for open positions. 
  • Coordinating on-boarding processes for new employees. 
  • Work as needed with external legal resources to ensure compliance with all hiring regulations/ immigration laws

Requirements

Experience & Qualifications 

  • Bachelor’s Degree with 1-3 years relevant experience
  • Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs
  • Must be highly proficient in Microsoft office including Word, Outlook, Excel, PowerPoint along with experience setting up systems and databases. Experience with Apple also desired
  • Must have excellent written and verbal communication skills including attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks including working with confidential information 
  • Comfortable working independently with minimal direction. 
  • Exceptional organizational and project coordination skills. 
  • Strong customer service mindset. 
  • Ability to manage multiple competing priorities with professionalism. 
  • Experience supporting executives or leadership teams preferred.
