We are seeking an Executive Assistant to support our Founder and CEO. The ideal candidate is a highly professional, resourceful individual with exceptional judgment and a proven ability to build a trusted partnership with a multi-faceted executive. This role requires strong organizational skills, proactive problem-solving, and the ability to anticipate needs, manage competing priorities, and operate with the highest level of integrity and confidentiality. Demonstrated commitment to excellence, flexibility as well as poise, confidence and the ability to interface with senior internal and external stakeholders and co-workers in a professional, approachable, and positive manner is a must.
Responsibilities:
- Provide high level administrative support to IV’s Founder and CEO
- Keep Executive and Executive Leadership Team apprised of calendar, action items, messages and relevant business issues, both internal and externalÂ
- Make appropriate, informed decisions regarding Executive’s available timeÂ
- Screen incoming calls and correspondence to determine priority and respond appropriatelyÂ
- Use sound judgment when processing email and other communications; may compose messages/replies on behalf of the executive's officeÂ
- Coordinate complex domestic and international travelÂ
- Create and format documents including letters, trip reports, itineraries, and other related documentsÂ
- Manage confidential business matters, internal communications, and filesÂ
- Act as a liaison between the executive and external groupsÂ
- Manage projects and tasks at CEO’s residence
Key Qualifications and Required Skills:
- 10+ years executive administrative experience supporting C-level executives, preferably in a complex environment
- Experience within a family office structure and managing private travel is preferredÂ
- Bachelors degree preferredÂ
- Advanced skills and experience in MS Word, Excel, and Outlook is requiredÂ
- Excellent grammatical, editing and proofreading skills requiredÂ
- Exceptional interpersonal, verbal, written and cross-cultural communication skillsÂ
- Must be detail-oriented, and able to develop and maintain highly organized work environmentÂ
- Demonstrated capabilities in making solid business decisions, problem-solving, and multi-tasking in a highly dynamic and fast paced business environmentÂ
- Proven ability to exercise a high degree of confidentiality and objectivityÂ
- Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnelÂ
- Proven ability to set priorities and work independently with little or no supervisionÂ
- Ability to receive and provide constructive feedbackÂ
