Job Description: Production Coordinator
Job Overview:
The Production Coordinator is a versatile position that will support daily operations in a fast-paced environment. The Hybrid Production Coordinator will play a critical role in ensuring operational efficiency by assisting with flow of vehicles through production, assisting with parts procurement, and assisting with vehicle detailing and lot management. This role will also help with Detailing, Parts and CSR Duties.
Job Responsibilities:
Parts Procurement and Inventory Management
- Order Management: Confirm drop-off orders, verify part accuracy, and ensure timely delivery of parts to meet repair schedules.
- Parts Distribution: Perform mirror matching to confirm part compatibility, deliver parts to Body Technicians and Painter, and maintain an organized parts storage area.
- Invoice Processing: Post parts invoices accurately in shop management software (e.g., CCC One or similar), ensuring proper cost tracking.
- Returns and Credits: Coordinate parts returns, secure credits from suppliers, and post credits to maintain accurate financial records.
- Invoice Tracking: Assist in keeping the unposted invoice tracker clean by reconciling pending invoices and flagging discrepancies.
- Vendor Communication: Liaise with parts suppliers to resolve issues, negotiate credits, and maintain strong vendor relationships.
Vehicle Detailing, Lot Management, and General Support
- Vehicle Detailing: Clean and detail vehicles for delivery, ensuring a polished appearance that meets customer expectations.
- Lot Porter Duties: Move vehicles around the shop and lot, stage cars for repair or delivery, and maintain an organized parking area.
- Shop and Office Maintenance: Keep the shop floor, office, and customer areas clean and presentable, including sweeping, trash removal, and restocking supplies.
- Ad Hoc Support: Provide daily assistance to the team, such as running errands, organizing tools, or supporting urgent tasks to maintain workflow.
- Team Collaboration: Work closely with Body Technicians and Painter to ensure smooth handoffs and timely completion of repairs.
Skills/Qualifications:
- Experience: Minimum 1 year of experience in an auto body shop, automotive repair, or customer service role, with familiarity in administrative or hands-on tasks.
- Skills:
- Strong organizational skills and multitasking abilities
- Excellent communication to interact with customers and team members professionally.
- Basic computer proficiency for invoice tracking and shop management software (e.g., CCC One, Mitchell, or Autoflow).
- Physical ability to lift up to 50 lbs., move vehicles, and perform detailing tasks.
