What our Customer Service Representatives do:

A Customer Service Representative (CSR) is responsible for taking and processing customer orders, addressing all customer inquiries and complaints, and making sure that the customer is always satisfied. The CSR is well organized, detail-oriented, and able to jump from one task to another.

DUTIES AND RESPONSIBILITIES:

  • Take customer orders either directly from customers or sales representatives
  • Place orders on timely basis for purchases of materials and supplies to be used in production
  • Process billing, new items, and purchase orders
  • Handle customer complaints and questions, and follow-up with appropriate internal/external personnel as required
  • Forward confirmations – Order Acknowledgements, ASN, and COA’s
  • Maintain customer files
  • Coordinate accounting credits
  • Record and distribute customer order changes 
  • Assist sales personnel as needed on customer accounts, and assist in generating supplemental sales 
  • Track warehouse items to ensure availability and that agreed upon minimum/maximum levels are followed. Analyze monthly usages and re-stocking per customer
  • Additional duties as assigned by management 

 

Qualifications and Skills:

  • High school diploma or GED
  • Proficiency in office software (Microsoft Office Suite)
  • Exceptional organizational and time-management abilities
  • Strong verbal and written communication skills
  • Prior customer service experience, preferably in a manufacturing or warehouse environment

 

LANGUAGE SKILLS: Excellent communication skills.  Ability to read and interpret documents such as sales reports, operating instructions, and training and procedure manuals.  Ability to write routine reports and correspondence. 

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, divide into all units of measure. Ability to compute rates, ratios, and percentages and calculate figures and amounts such as discounts, costs, proportions, and volumes.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram (graphic) form.  Ability to solve a variety of problems and deal with a variety of situations where only limited information or standardization exists. 

PHYSICAL DEMANDS: The employee is regularly required to stand, walk, talk, hear and sit, as well as use hands and fingers for computer and phone work. Vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT: Most work takes place in an office environment in a cubicle. However, while performing the duties of this job, the employee may occasionally be exposed to wet and/or humid conditions and moving mechanical parts. While the noise level in the office is normal for an office environment, the plant environment is usually loud.
