Job Summary

The Facilities Coordinator serves as the staff-facing point of contact and on-site coordinator for the facilities function of Westside Church, while also performing hands-on maintenance, custodial, and groundskeeping work across the campus (and at our other properties as needed). This role ensures campus readiness for Sunday gatherings, supports staff facilities needs during the week and directly executes the physical work of campus care. The Facilities Coordinator partners with the Operations Director on building systems and vendor access while reporting to the Co-Senior Pastor who oversees the Facilities Department.

This position requires both operational coordination and physical execution. The individual will serve as the visible, accessible presence for all facilities requests, translating staff needs into action through direct work, coordination with the facilities team, and hands-on maintenance across interior and exterior spaces.

Required Qualifications & Skills

Minimum Qualifications

  • Demonstrated experience in facilities, maintenance, building operations, landscaping, custodial services, or a related trades background.
  • Strong organizational skills with the ability to manage multiple tasks and priorities across a week.
  • Clear communication skills and the ability to coordinate with staff, volunteers, and contractors.
  • Self-directed work ethic with the ability to operate independently and make sound judgment calls in real time.
  • Availability for Sunday campus operations and regular weekday presence.
  • Physical ability to walk the campus, lift and carry 50 lbs, work on ladders, scaffolds, or near loud equipment, and perform maintenance and custodial tasks.
  • Proficiency in operating mowers, hand and power tools, and basic equipment; experience with skid-steer loaders and snow removal equipment preferred.
  • Valid U.S. driver's license.

Responsibilities and Associated Tasks

Sunday Operations

  • Arrive early to unlock, inspect, and prepare the campus for Sunday services.
  • Conduct building walkthroughs before, between, and after services to identify and address issues.
  • Ensure rooms, restrooms, and common areas are clean, stocked, and ready for guests.
  • Serve as the first response for facilities emergencies or issues during Sunday gatherings.
  • Coordinate with the Operations Director, Executive Director, and staff teams on any building or system needs for the weekend.
  • Lock and secure the campus following Sunday activities.

Staff Facilities Coordination & Support

  • Maintain an open, responsive presence in the office to field needs and questions.
  • Triage requests, determine urgency, and dispatch work to the appropriate team member or vendor.
  • Communicate timelines and expectations with staff regarding facilities work.
  • Partner with ministry leaders on room setups, event preparation, and space usage needs.

Custodial, Setup & Interior Care

  • Coordinate daily and weekly custodial work with the custodial staff, including Gabrielle and team.
  • Communicate priorities, schedules, and quality standards through existing translation tools and apps.
  • Conduct room setup, resets, and Saturday "Sunday-ready" preparation.
  • Ensure that all setup and reset work meets the standard for Sunday gatherings and midweek activities.
  • Clean, reset, and sanitize classrooms, hallways, and common areas daily and after events.
  • Perform deep cleaning of restrooms and report plumbing or equipment malfunctions.
  • Vacuum high-traffic areas and ensure all interior spaces remain guest-ready.
  • Identify when additional volunteer or contracted help is needed and communicate to the Facilities Overseer.

Groundskeeping & Exterior Maintenance

  • Perform lawn grooming, weed control, and general landscape maintenance.
  • Inspect, troubleshoot, and repair irrigation systems, including seasonal winterization.
  • Maintain parking lots, curbs, hardscape, and fence integrity.
  • Monitor and maintain flower beds, trees, and plantings.
  • Utilize ladders and scissor lifts for signage and exterior fixture inspections.
  • Perform snow removal and respond to weather-related grounds emergencies.

Basic Maintenance, Facilities Operations & Equipment

  • Perform routine maintenance, minor repairs, and building upkeep as able.
  • Conduct weekly campus walkthroughs to identify maintenance needs, safety concerns, or building wear.
  • Report larger maintenance issues, system concerns, or capital needs to the Operations Director or Facilities Overseer.
  • Maintain basic tools, supplies, and inventory for routine facilities work.
  • Safely operate hand and power tools, mowers, and basic equipment; perform upkeep including cleaning and lubrication.
  • Support the Leadership Team on special projects, repairs, and campus improvements.
  • Ensure that the building and grounds remain safe, clean, and functional for staff and guests.

Administrative, Systems Coordination & Staff Participation

  • Maintain a shared calendar with the Operations Director for vendor visits and building access.
  • Keep basic facilities records, work logs, and documentation as requested.
  • Participate in Staff Connect, Staff Chapel, and other required staff functions.
  • Maintain an up-to-date calendar and communicate proactively with the Operations Director and Facilities Overseer.
  • Respond to email and phone communication in a timely and professional manner.
  • Participate in periodic facilities review meetings with the Operations Director and Facilities Overseer.
  • Support the transition of knowledge, keys, and vendor relationships during onboarding.
  • Adhere to church policies, safety protocols, and organizational values in all facilities work.
  • Other tasks and responsibilities as assigned by the supervisor.

Reports To: Ben Fleming, Co-Senior Pastor (Facilities Department Overseer)

Partners With: Justin McMahan, Operations Director (Building Systems and Vendor Management)

Supervises: Custodial Staff, Setup/Reset Staff, Facilities Volunteers
