Administrative Office Coordinator
Location: Bessemer City, NC

What You’ll Do
- Serve as the primary front-office contact by welcoming visitors, employees, applicants, vendors, and contractors in a professional and helpful manner.
- Answer, screen, and route incoming telephone calls; take accurate messages and respond to general inquiries.
- Coordinate visitor sign-in, identification, badges, access, and employee notification while maintaining accurate visitor, contractor, key, and access-card records.
- Manage incoming and outgoing mail, packages, courier services, and deliveries, and maintain an organized reception area, conference rooms, breakroom, and common office spaces.
- Manage calendars, schedule meetings and appointments, reserve conference rooms, and coordinate travel, visitor accommodations, and company events.
- Prepare correspondence, reports, spreadsheets, presentations, forms, agendas, and meeting minutes, and maintain organized electronic and paper filing systems.
- Order office and facility supplies, monitor inventory, coordinate vendors and office equipment service, route maintenance requests, and process purchase requests, invoices, receipts, and expense documentation.
- Provide limited administrative support to the HR Director by scheduling interviews, orientation, training, and employee meetings; preparing new-hire materials, badges, and workspaces; routing employee questions appropriately; and protecting confidential information.

What We’re Looking For
- High school diploma or GED; associate degree in business administration, office administration, or a related field preferred.
- At least two years of experience as an administrative assistant, office coordinator, receptionist, or in a similar administrative position.
- Experience working in a manufacturing, warehouse, pharmaceutical, nutraceutical, or other regulated environment is preferred.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and standard office equipment, with the ability to learn company systems.
- Strong written and verbal communication, professional telephone etiquette, and a customer-service-oriented approach.
- Excellent organization, attention to detail, confidentiality, time management, and multitasking skills, with the ability to work independently in a fast-paced environment.
- Ability to sit, stand, and walk for extended periods and occasionally lift or move office supplies weighing up to 25 pounds.
