Job Summary:

The Office Administrator plays a key role in providing exceptional customer support, scheduling daily deliveries, and utilizing dispatch software for efficient tracking. It requires maintaining accurate records, communicating with team members, and promptly responding to customer inquiries. The role involves order processing, customer payments, and invoicing. 

Roles and Responsibilities:

  • Answers telephone and greets customers and visitors.
  • Maintains office filing system, both paper files and electronic files, including delivery documents and customer database.
  • Distributes incoming mail.
  • Performs errands, such as bank deposits and picking up checks from customers, as needed.
  • Manages office supplies and places orders when necessary.
  • Performs office cleaning.
  • Schedules team members for daily deliveries.
  • Communicates with drivers and customers to support safe and timely deliveries.
  • Accepts and records orders for products and communicates them to the appropriate person.
  • Provides customer support, including invoicing, payment processing, and issuing receipts.
  • Assists in developing and maintaining a Cardlock system.
  • Supports warehouse operations and coordination as the need arises.
  • Performs other duties as assigned.

Education and Experience:

  • High school diploma or GED; and 2+ years of office experience, or a combination of education and experience.
