The Supervisor- Incoming & Inventory Operations is key role of the logistics team and works directly with the Logistics Manager as well as all other departments. The Supervisor of Inventory, Returns, Destruction, & Receiving will oversee daily warehouse operations of incoming materials, inventory control, customer returns, and destruction of materials. This role will ensure all processes and guidelines are followed correctly and proper documentation is produced to adhere to GMP guidelines. The Supervisor- Incoming & Inventory Operations leads and manages the workflow, aids in training, identifies and executes process and efficiency improvement, and resolves discrepancies. They will have strong leadership and organization skills and will show attention to detail. The Supervisor- Incoming & Inventory Operations must also display communication and customer services skills to work with internal and external customers as well as the ability to maintain inventory stock and records.

Essential Duties and Responsibilities

  • Provide training and organizational guidance to ensure compliance with SOPs, GMPs, and applicable federal regulations and monitor performance on a regular basis.
  • Oversee daily operations of receiving from scheduling to SAP Receipt processing
  • Ensure returned material is received and processed in accordance with SOP’s
  • Oversee proper quarantine, release, or rejection of received goods per SOPs and Quality directives.
  • Supervise and verify receipt of pharmaceutical products, APIs, controlled substances, and materials in accordance with GMP requirements.
  • Enforce warehouse safety policies
  • Work with Continuous Improvement team to identify and improve processes
  • Conduct daily meetings with teams to discuss objectives and goals as well as assign daily workload
  • Operates lift trucks, hand trucks, pallet jacks, and carts to receive products into the warehouse.
  • Establishes and train staff on procedures related to receiving incoming material, returns, destruction, and inventory accuracy
  • Recommends and assists the Logistics Manager in implementing operating procedures and promotes continuous improvement within the department.
  • Track metrics to aid in forecasting of volume and workforce
  • Communicate with external customers as needed
  • Manage data entry for received material ensuring each receipt is assigned a batch number
  • Develop and track KPI’s to measure progress and identify areas of improvement
  • Provide Finance with monthly reports of all receipts, returns, destruction, and storage for billing purposes
  • Support monthly financial forecasting
  • Regularly perform inventory transactions for customers as requested.
  • Assist or complete NCR, Investigations, CAPA’s as related to department
  • Maintain accuracy of all inventory in DEA areas including conducting bi-annual DEA Inventory with Regulatory team
  • Other duties as assigned

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Associate’s Degree OR High School Diploma and 1 -3 years’ experience in distribution and warehousing, and/or pharmaceutical preferred.
  • Desire to learn, grow and develop.
  • Demonstrated ability to prioritize the tasks assigned, and meet critical timelines.
  • Demonstrate leadership and team building skills
  • Strong attention to detail.
  • Strong oral and written communication skill to communicate with the team, peers, management, and external contacts.
  • Ability to follow cGMPs, FDA, DEA, OSHA, and IATA Regulations.
  • Working knowledge of computers, MS Products, including Word, Project, and Excel, and ERP system functionality (SAP, JD Edwards, etc.)
