 Transportation Services Coordinator 




When a group of families came together in 1957 to find services for their children with developmental disabilities, ACLD was born. Today, we are a leading not-for-profit agency employing 1200+ staff and providing over 70 program sites in Nassau and Suffolk. ACLD assists children and adults in reaching the highest level of independence with the freedom to ASPIRE HIGHER in their hopes, dreams and accomplishments. 


In this position you will coordinate the daily operations Day and Residential program’s transportation program.

Requirements

  • High school diploma or equivalent. Associates Degree or higher preferred.
  • Experience in coordinating transportation services for a provider agency preferred.
  • Experience working with individuals with intellectual and developmental disabilities (I/DD) population is a plus.
  • Clean and valid NYS Driver’s license.


Additional Knowledge, Skills and Ability

  • Substantial reasoning skills required including the ability to deal with a variety of abstract and concrete issues simultaneously; identify problem, interpret data and draw conclusion; and apply principles in logic or theoretical thinking to a wide range of intellectual and practical problems.
  • Excellent verbal and written communication skills including the ability to coach and counsel, interpret and advise, and develop and present to professional forums.
  • Basic computer skills in Microsoft Word and Excel.


Essential Functions

  • Coordinate daily transportation operations and vehicle assignments.
  • Assist with the creation, revision, and maintenance of transportation routes as enrollment changes.
  • Monitor GPS/Telematics systems and generate operational reports.
  • Maintain Driver ID device records and assist with troubleshooting.
  • Administer WEX fuel card requests and monitor card usage.
  • Administer handicap placard requests and monitor usage.
  • Maintain vehicle records, including registrations, inspections, maintenance documentation, and lease information.
  • Coordinate vehicle preventive maintenance schedules and repair appointments.
  • Communicate with repair facilities regarding vehicle service needs and status updates.
  • Assist with accident documentation, incident reporting, and insurance claim processing.
  • Track motor vehicle violations, toll violations, and parking tickets.
  • Coordinate leased vehicle deliveries, transfers, and returns.
  • Maintain transportation databases, spreadsheets, and operational records.
  • Assist with monthly mileage reports for submission to Finance to support funding and reimbursement compliance.
  • Assist with the preparation of fleet utilization and transportation performance reports.
  • Participate in monthly Fleet Safety Meetings and support transportation safety initiatives.
  • Serve as a liaison between transportation staff, program personnel, vendors, and administrative departments.
  • Review efficiency of routes and make changes, as needed.
  • Serve as liaison between programs, day intake coordinator, residential and families.
  • Responsible to coordinate services for roadside emergencies.
  • Coordinate preventative maintenance, repairs, MVA’s, rotation of vehicles and loaner vehicles.
  • Responsible for the oversight of mileage sheets. Report discrepancies to Administrator.
  • Coordinate vehicle orientation with programs.
  • Other duties, as assigned
