Position Summary

Spanish Peaks Mountain Club is seeking a detail-oriented, approachable, and highly organized People Coordinator to support our People & Culture team. This role plays an important part in creating a positive associate experience by providing high-touch HR support, coordinating recruitment and onboarding activities, supporting associate housing logistics, and assisting with associate engagement initiatives.

Key Responsibilities

Human Resources Support

  • Serve as a first point of contact for associate questions related to onboarding, benefits, policies, and general HR procedures.
  • Assist with the full-cycle onboarding process, including background checks, I-9 verification, new-hire documentation, and orientation scheduling.
  • Support full-cycle recruitment for domestic, J-1 Work & Travel, and H-2B associates, including candidate coordination, pre-arrival communication, and onboarding.
  • Maintain accurate associate records within the HRIS and department files while ensuring compliance with internal processes and applicable requirements.
  • Assist with benefits enrollment, associate questions, and communication of available programs and resources.
  • Support the execution of People & Culture programs, including associate engagement activities, training sessions, recognition programs, and associate events.
  • Coordinate exit interviews and offboarding logistics for departing associates.
  • Coordinate associate shuttle communications and seasonal updates in partnership with the transportation provider.
  • Assist with recruiting events, job fairs, orientations, and other People Department initiatives.
  • Support the Director of People with HR projects, reporting, documentation, and process improvements.
  • Provide general administrative support to the People Department as needed.

Associate Housing Coordination

  • Partner with the Director of People and Property Management team to coordinate seasonal and year-round associate housing logistics.
  • Communicate housing assignments, move-in and move-out timelines, housing expectations, and policies to associates.
  • Maintain accurate housing rosters and regularly track occupancy, vacancies, arrivals, and departures.
  • Assist with housing documentation, associate communications, and seasonal housing transitions.
  • Help ensure housing concerns and associate questions are routed to the appropriate team member for timely resolution.

Preferred Qualifications

  • 1–3 years of experience in human resources, hospitality operations, recruiting, or a related administrative role.
  • Strong interpersonal and communication skills with a people-first mindset.
  • Highly organized with the ability to manage multiple priorities accurately and meet deadlines.
  • Strong attention to detail and follow-through.
  • Proficiency in Microsoft Office Suite; familiarity with ADP or similar HRIS platforms is preferred.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Previous experience with associate housing, international recruitment, or logistics coordination is a plus.
  • Genuine interest in hospitality, private club operations, and working within a resort community.

Work Environment & Expectations

  • This position is primarily based on-site at Spanish Peaks Mountain Club in Big Sky, Montana, with work as needed from the People Department offices in Bozeman, Montana.
  • Regular in-person interaction with associates, managers, candidates, and new hires is an essential component of the position.
  • Occasional evening or weekend availability may be required during peak recruitment, onboarding, orientation, or housing transition periods.
  • The position may involve limited walking through associate housing facilities and outdoor areas.
  • The People Coordinator is expected to represent the People Department with professionalism, discretion, responsiveness, and a service-oriented approach.
