The Operational Support Specialist provides comprehensive clerical, operational, accounting, and systems support. This position plays a key role in supporting daily departmental functions, maintaining compliance documentation, managing financial reporting, and assisting with food service systems and facility operations. The role requires strong organizational skills, attention to detail, flexibility, and the ability to work collaboratively across multiple properties and departments.

 

  • Provide comprehensive administrative and clerical support, including document creation, recordkeeping, compliance tracking, and coordination of departmental materials.
  • Manage vendor communications, new account setup, catering requests, and regional implementation projects in collaboration with management.
  • Assist with daily operations
  • Support property operations through travel to sites, inventory oversight, onboarding and training of new managers, and operational support during staffing shortages.
  • Maintain financial records, including monthly spreadsheets, invoice data entry, auxiliary billing compilation, report generation, and invoice verification/approval in Workday.
  • Oversee and maintain EVS systems, troubleshooting IT issues, equipment setup, and implementation of new operational processes.
  • Ensure compliance with facility, corporate, and regulatory policies while maintaining confidentiality and professionalism.
  • Maintain knowledge of and comply with all applicable federal, state, and facility regulations, as well as Environmental Services department and account-specific policies.
  • Understand and follow the facility’s fire safety, emergency preparedness, and disaster response plans during drills and actual emergencies.
  • Perform additional departmental duties or special assignments as directed by management.

General Responsibility as Required for Position

  • Responsible for acting in conformance with all facility and departmental policies and procedures including those relating to Human Resources, Code of Ethics and Business Conduct, Health and Safety regulations, Compliance requirements, Patient Rights, Confidentiality, and HIPAA. Responsible for acting in conformance with accrediting agency standards.
  • Attends department meetings as required.
  • Demonstrates accountability to accept responsibility for personal/professional growth and any required certification/licenses, if applicable.
  • Completes mandatory training and competencies annually.
  • Adheres to all policies and procedures specific to the assigned work account
Qualifications
  • High school diploma or equivalent required
  • Previous administrative experience required; healthcare or senior living experience preferred.
  • Experience with financial reporting, invoice processing, and data entry.
  • Proficiency in Microsoft Office and Google Suite (Excel, Word, Outlook, Google Sheets) required.
  • Experience with Workday and POS systems preferred.
  • Strong organizational, time management, and multitasking skills.
  • Ability to travel between properties as needed.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
