The Executive Assistant to the CEO provides exceptional administrative support for the Chief Executive Officer and President, and other senior-level leaders as assigned, through consistently demonstrating a mastery of Executive Assistant job responsibilities and acting as a liaison between management and employees. At times, this role may serve as proxy for one or all assigned leaders, as requested. This role will be in office in Birmingham, Alabama.


Essential Job Responsibilities Include:

  • Demonstrates consistent mastery of Executive Assistant responsibilities including advanced communication and close-out of tasks and projects
  • Independently manages and coordinates extremely active calendars of appointments, avoiding conflicts and prioritizing conflicting needs
  • Offers solutions to roadblocks and/or suggests more efficient ways to conduct core operations
  • Facilitates preparation for meetings and events, scheduling prep meetings as needed
  • Proactively operates independently and does not wait to be asked, jumping in when needed
  • Provides a bridge for smooth communication between internal departments and external constituents - demonstrating and maintaining credibility, trust, and support
  • Serves as a liaison to the Board of Directors, coordinating board meeting logistics, materials, and communications with professionalism and discretion
  • Enables leader(s) to scale by ensuring no critical documents or processes fall through the cracks, including bringing a mindset for process improvement to all things
  • Works closely and effectively to keep leader(s) well informed of upcoming commitments and responsibilities, following up appropriately 
  • Successfully completes critical aspects of deliverables with a hands-on approach that facilitates the leader(s)’ ability to effectively lead the company
  • Prioritizes conflicting needs, handles conflicts expeditiously, proactively, and confidentially, and follows through on projects to successful completion, often with deadline pressures
  • Performs detailed project management tasks including tracking project milestones
  • Organizes, coordinates, and delivers approved executive correspondence 
  • Facilitates and successfully executes internal company events in partnership with Marketing
  • Prepares materials for meetings including detailed formatting of professional presentations and documents
  • Manages sensitive information with a high level of confidentiality and discretion
  • Generates and analyzes reports as requested
  • Handles all matters expeditiously, proactively, and confidentially
  • Provides back-up support for absent teammates
  • Researches and executes special projects
  • All other duties as assigned


Required Skills / Experience:

  • Bachelor’s degree
  • 5+ years’ experience as an executive assistant supporting senior level leaders 
  • Experience utilizing AI tools and technology as a force multiplier to increase efficiency and effectiveness 
  • Experience coordinating complex international travel logistics 
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat 
  • Ability to work independently and provide prompt support to multiple leaders across multiple time zones, with an in-office presence of four days per week
  • High degree of integrity
  • Strong time management and organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail 
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and clients 
  • Advanced written and verbal communication skills 
  • Emotional intelligence and ability to work through conflict
  • Highly resourceful team-player, with the ability to also be effective independently 
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response 
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment 
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions


Based on relevant market data and other factors, the anticipated hiring range for this role is $73,600 to $92,000 annually. Final compensation rates will be determined based on various factors, including but not limited to experience, skills, knowledge, and internal equity considerations. This role is also short-term incentive eligible. Incentive amounts will vary by individual and business goals.
