Kamatics is seeking an Office Administrative Assistant to support front desk operations and provide administrative support across Sales, Engineering, Human Resources, and executive leadership at our Bloomfield, CT location. This role helps ensure smooth daily office operations by managing visitors, coordinating administrative tasks, and supporting reporting and cross-functional business activities while maintaining a professional and welcoming office environment.

Position Summary:

The Office Administrative Assistant serves as the central point of contact for front desk operations while providing cross-functional administrative support across Sales, Engineering, Human Resources, and executive leadership. This role ensures efficient office operations, accurate order processing and reporting, and a professional experience for employees, customers, and visitors.

Responsibilities:

  • Office Operations & Front Desk Management
  • Serve as the primary point of contact for visitors, customers, and incoming calls, ensuring a professional and welcoming experience.
  • Manage visitor registration through iLobby, ensuring compliance with company security protocols and foreign national visitor requirements.
  • Maintain lobby displays, company phone lists, employee directories, and visitor materials to ensure accuracy and professionalism.
  • Coordinate conference room scheduling and company vehicle reservations to support business needs.
  • Maintain front desk equipment and supplies, including visitor badges, safety glasses, and related materials.
  • Oversee all incoming and outgoing mail and package distribution, ensuring timely and accurate routing.
  • Maintain and update employee lists and departmental records in coordination with Human Resources.
  • General Administrative Support
  • Ā Enter and process Express (Q) Orders and Engineering (A) Orders, maintaining accurate documentation and archiving records in designated drives.
  • Generate, maintain, and distribute sales and operational reports to support business tracking and decision-making.
  • Monitor and route CSP paperwork and related documentation to appropriate stakeholders.
  • Support employee engagement initiatives, including preparation, setup, and cleanup of events and activities.
  • Provide administrative support to Human Resources and executive assistant as needed.
  • Support cross-functional business operations and special projects and perform other duties as assigned.

Requirements/Qualifications:

Education:

  • High School EducationĀ 

Experience:

  • Minimum of one year of office and/or receptionist experience.

Knowledge, Skills and Abilities:

  • Knowledge of office administration, front desk operations, and visitor management procedures.
  • Proficiency in Microsoft Office and administrative systems for scheduling, reporting, and document management.
  • Strong customer service, communication, and interpersonal skills with the ability to interact professionally with employees, visitors, and external partners.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and maintain accurate records.
  • Ability to maintain confidentiality and follow company policies, security protocols, and administrative procedures.
  • Ability to work independently and collaboratively in a fast-paced environment while supporting cross-functional teams and office operations.

Physical Requirements:Ā 

  • Sitting or standing for extended periods while performing front desk and administrative duties.
  • Frequent communication with visitors, employees, and external contacts in person, by phone, and through electronic communication.
  • Use of standard office equipment, including computers, telephones, printers, and copiers.
  • Occasional lifting, carrying, or moving of items up to 20 pounds, such as mail, packages, office supplies, or event materials.
  • Occasional bending and twisting
  • Walking throughout the facility to distribute mail, support meetings, and assist with office operations.
  • Performing repetitive tasks, including typing, filing, and handling paperwork.
