Job Summary
The Shipping Coordinator is responsible for clerical and administrative duties in the shipping department. The Shipping Coordinator will handle all documentation for shipments and ensure accurate billing for all items shipped out.
Key Responsibilities
- Answer phone calls and manage the office to make sure all of our customer’s needs are met.
- Maintain the security board and make sure it is up to date.
- Ensure that all inventories are correct at the time of shipment to prevent errors prior to the load leaving the premises.
- Complete all paperwork for outbound customer loads and internal customer loads.
- Run daily inventories and report any discrepancies to the Team Lead or Supervisor to clear up and then follow up with accounting to make sure that inventory is corrected.
- Set up and make sure all distribution orders are cleared for all intercompany transfer both inbound and outbound to other WLF locations.
- Key in/out all intercompany transfers into Lineage’s inventory.
- Ensure the appointment times are posted daily for outbound and inbound loads for both dry and refrigerated loads.
- Complete shipping pre-op inspections on a daily basis, report issues to Supervisor, and make sure it is sent to proper personnel.
- Enter requisitions into QAD for all invoices.
- Receive all of the QAD POs.
- Document all of the repairs to our equipment.
- File and maintain all paperwork.
- Contact the appropriate vendor when trailers are down in order to get them repaired.
- Ensure trailer registrations are put on the trailers and kept up to date and also make sure the federal inspections are current on the reefer trailers at all times.
- When the Shipping Manager is gone, the Shipping Coordinator is responsible for ensuring the drivers are on task and coordinating with the Team Lead about their daily workloads.
- Coordinate with the Production Schedulers regarding when product is needing to run and scheduling loads back form Lineage as needed.
- Other duties as assigned.
Job Requirements
- Experience: Minimum of 1 year of related experience in shipping or receiving is preferred.
- Age: Must be a minimum of 18 years of age.
- Authorization: Must be authorized to work in the United States; no sponsorships are available.
- Education: High School Diploma or equivalent preferred.
- Skills: Must be able to read and write English. Must be able to problem solve and perform basic math. Must be able to work independently without constant supervision. Must have good attention to detail. Must have computer experience.
- Environmental: Ability to work in varying temperature conditions including cold temperatures.
- Flexibility: Must be able to work overtime and/or weekends as needed. Ability to adjust quickly to changing demands.
- Compliance: Must practice good personal hygiene. Candidates must successfully pass a post-offer/pre-employment drug test, background screen, physical and E-Verify.
