The Catering Coordinator Handles all administrative duties required by the Catering Departments in order to provide superior services to our guests.
The hourly rate for this position is: $31.43
Catering Coordinator
JOB SUMMARY
The Catering Coordinator provides essential administrative and operational support to the Catering Sales team, serving as a key point of contact for clients, managers, and internal departments. This role is responsible for coordinating event logistics, managing correspondence, maintaining accurate records, and ensuring seamless communication throughout the catering process from inquiry to post-event follow-up.

RESPONSIBILITIES
•   Prepares, proofreads, and distributes all correspondence on behalf of catering managers, including proposals, contracts, letters, and emails, ensuring 100% accuracy at all times.
•   Manages and prioritizes workload across multiple managers to meet all deadlines.
•   Receives and records detailed catering inquiry leads and routes them to the appropriate manager for follow-up.
•   Compiles and distributes event materials, packages, and promotional items to clients as needed.
•   Enters VIP client amenities into the Opera system and processes all related paperwork, including amenity cardsÂ
•   Assists in coordinating event logistics to ensure a smooth and professional client experience.
•   Enters and maintains group information, including site details and event resumes, in the Delphi system.
•   Inputs and tracks work orders in Synergy as directed by managers.
•   Maintains organized and up-to-date account files and reader files, ensuring all relevant documents — including post-event reports, contracts, and correspondence — are properly filed.
•   Delivers timely and accurate messages to managers, including caller name, company or group affiliation, phone number, and date and time of call.
•   Serves as a liaison between clients, managers, and operational departments to facilitate clear and efficient communication.
QUALIFICATIONS:
•   Must be able to work alone as well as work well with others.
•   Must have good communication skills.
•   Must be extremely computer savvy (Microsoft Word, Publisher, Outlook, Express, Excel).
•   Previous knowledge of Delphi, Opera and Synergy preferred.
•   Must have good organizational skills.
