Position Summary

The Project Management Coordinator provides operational and administrative support to the R&D Program Management team and cross-functional study teams. The individual will assist with project tracking, meeting management, documentation, timelines, budget tracking, and communication activities that support the successful execution across clinical development programs.


The ideal candidate is highly organized, detail-oriented, collaborative, and capable of managing multiple priorities in a fast-paced biotechnology environment.



Essential Functions

  • Develop and maintain project schedules, milestones, action plans and status reports
  • Monitor project progress and proactively identify risks, issues and interdependencies
  • Facilitate project meetings, document key decisions and track action items
  • Collaborate with cross-functional teams to ensure alignment on project objectives
  • Support Program Managers as needed in support of program pipelines
  • Maintain program dashboards, trackers, and status reports.
  • Coordinate cross-functional team meetings, governance meetings, and vendor meetings.
  • Develop agendas, distribute meeting materials, and capture meeting minutes and action items.
  • Organize and maintain program documentation, including project plans, decision logs, risk registers, and meeting records.
  • Assist with purchase order tracking, invoice management, and budget reconciliation activities.
  • Monitor project progress and escalate potential delays, risks, or issues to the program management team.



Qualifications

  • Bachelor's degree in Life Sciences, Healthcare, Business Administration, or related field.
  • 1 to 4 years of experience in biotechnology, pharmaceutical, clinical research, healthcare, or project coordination environments.
  • Strong organizational and project coordination skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Smartsheet, Microsoft Office Suite, including Excel, Word, PowerPoint, and Teams.
  • Ability to manage multiple priorities and deadlines in a dynamic environment.
  • Strong attention to detail and commitment to quality.



Preferred

  • Experience supporting clinical trials or drug development programs.
  • Familiarity with US FDA Regulatory approval landscape, ICH guidelines, and clinical development processes.
  • Experience working with external vendors.
  • Knowledge of project management tools such as Smartsheet, Microsoft Project, and AI tools (i.e. Claude) .
  • Oncology, ophthalmology, or biotechnology experience.

Within the first 12 months, the Clinical Program Management Coordinator will:

  • Become a trusted operational resource for one or more clinical development programs.
  • Maintain accurate project timelines, dashboards, and action-item tracking systems.
  • Establish strong working relationships across internal functions and external partners.
  • Improve visibility and communication of program status, risks, and deliverables.
  • Contribute to the efficient execution of key clinical milestones and regulatory deliverables.
  • Support a culture of accountability, collaboration, and operational excellence.
