The Sales & Catering Coordinator is a central member of the Commercial Division and is responsible for providing administrative support to the Sales & Catering Managers and Directors.Â
This position assists with administering proposals, contracts, BEO’s, daily change logs, guarantees for events, analytical data reporting, and is responsible for general office administration. The coordinator acts as a liaison with the hotel’s Department and Division Heads in planning internal Four Seasons meetings.Â
What We Look For:
We are looking for individuals who are familiar with all aspects of the sales and catering process, have a solid knowledge of food and beverage, strong business acumen skills, have a proven track record displaying creativity and are an excellent communicator. A good working knowledge of all MS systems; Word, PowerPoint, Excel and Publisher are required. Working knowledge of Delphi and social tables is ideal. Applicants must also have a high attention to detail and the ability to multi-task in a fast-paced environment. A positive attitude and a can-do approach to any task are essential!

Key Responsibilities
Provide administrative support to the Sales & Catering team, including scheduling appointments, preparing correspondence, and managing departmental records.
Prepare proposals, contracts, reports, meeting packets, and other sales-related documentation.
Process inquiries, group contracts, individual reservations, purchase orders, and invoices with accuracy and attention to detail.
Generate weekly, monthly, and quarterly reports using Delphi and other department systems.
Coordinate communication between departments to ensure successful execution of group and event business.
Assist with client interactions, site visits, and internal meeting arrangements.
Maintain department files, office supplies, and special projects while supporting daily operational needs.
Ensure all work is completed in accordance with Four Seasons standards of quality and service.
Preferred Qualifications
Previous administrative, hospitality, hotel, sales, or catering experience preferred.
College education preferred.
Excellent verbal and written communication skills in English.
Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
Exceptional attention to detail and commitment to accuracy.
Proficiency in Microsoft Office applications, including Word and Excel.
Experience with Delphi, BirchStreet, Lotus Notes, or similar systems is preferred.
Food & Beverage knowledge is a plus.
Ability to work both independently and collaboratively as part of a team.
