Reporting directly to the EVP of Real Estate, the Senior Administrative Assistant plays a critical role in supporting the day-to-day operations of the Real Estate Division and ensuring priorities, projects, and teams move forward efficiently. The role provides high-level administrative and operational support to senior staff, and is an opportunity for a highly organized, proactive professional to contribute to a collaborative, fast-paced environment supporting real estate and economic development initiatives across Massachusetts.Â
What You'll Do
- Provide day-to-day administrative and operational support to the EVP of Real Estate and senior leadership within the Real Estate Division.
- Coordinate the preparation, organization, and distribution of Board materials, reports, presentations, briefing materials, and other leadership deliverables.
- Support contract and procurement activities, including preparing contract forms, submitting procurement requests, coordinating internal approvals, and tracking items through completion.
- Maintain accurate and up-to-date data, records, files, and tracking systems, ensuring information is organized, accessible, and appropriately maintained.
- Manage calendars, meetings, scheduling, communications, document production, and other day-to-day administrative needs for the Division.
- Coordinate meetings, events, presentations, and other activities involving internal teams, external partners, and stakeholders.
- Prepare, format, proofread, and organize correspondence, reports, presentations, and other business documents with a high level of accuracy and attention to detail.
- Help monitor deadlines, follow up on outstanding items, and keep priorities and deliverables moving forward.
- Serve as a trusted and responsive resource to senior staff and colleagues, anticipating needs and helping resolve administrative and operational issues.
- Handle sensitive and confidential information with professionalism, discretion, and sound judgment.
- Collaborate across the organization and contribute to a positive, solutions-oriented team environment.
- Take on special projects and other administrative priorities as needed to support the Real Estate Division’s goals and initiatives.
What We're Looking For
- Associate’s degree preferred, with 4–7 years of relevant experience, including at least 3 years supporting an executive team or managing office functions; a bachelor’s degree may substitute for equivalent experience. Experience in real estate, economic development, public sector, or a similarly complex environment is preferred
- Proficiency with Microsoft 365, SharePoint, Planner, database systems and other apps.
- Strong written, verbal, presentation, organizational, and problem-solving skills, with exceptional attention to detail and the ability to communicate effectively with diverse internal and external stakeholders.
- Demonstrated ability to manage multiple priorities, set deadlines, adapt to changing needs, and maintain high-quality work under pressure.
- Strong judgment, initiative, and discretion, with a proactive approach to anticipating needs, identifying issues, and developing practical solutions.
- Excellent interpersonal and diplomatic skills, with the ability to build productive relationships across teams, business units, offices, and external partners.
- Ability to take ownership of assignments, follow through independently, and consistently meet deadlines.
- Desire to be a key player on a collaborative team, taking initiative to support colleagues and contribute to the efficient operation of the Division.
- Experience maintaining organized filing, data, budget, and tracking systems.
- Familiarity with commercial real estate and demonstrated interest in real estate, economic development, and the Division’s programs and activities.
- Ability to handle confidential and sensitive information with professionalism, sound judgment, and discretion.
