The opportunity:

The Executive Assistant, Legal will serve as a trusted partner to the General Counsel, providing high-level administrative support across executive operations, Board of Directors coordination and other matters. 

Success in this role requires exceptional organization, discretion in handling confidential and privileged information, and the judgment to manage competing priorities across legal, corporate governance, and executive functions — all while building productive relationships with Board members, their administrative teams, outside counsel, and colleagues across the company.

This position reports to the General Counsel and is based in-office at our Boston Seaport location.

Your primary objectives will be:  

  • Executive Administrative Support
    • Manage calendar for the General Counsel, proactively resolving conflicts, protecting time for key priorities, and triaging incoming scheduling requests from internal and external parties
    • Coordinate internal and external meetings end-to-end, including scheduling, room, technology and catering setup, and agenda distribution
    • Arrange domestic and international travel, including itineraries, accommodations, and logistics
    • Prepare, submit, and reconcile expense reports in accordance with company policy
    • Be a key player on a tight-knit Administrative Team that keeps the company running, partnering across functions to make sure nothing falls through the cracks
  • Board of Directors Support
    • Coordinate quarterly and ad hoc Board and committee meetings, managing calendars across multiple external Board members and internal stakeholders, and building strong working relationships with Board members' administrative teams
    • Prepare and distribute Board and committee materials with careful attention to timeliness, confidentiality, and permission management within the company's board management platform
    • Own logistics for in-person, hybrid, and virtual Board meetings (venue, technology, catering, travel, expense reimbursement)
    • Support the General Counsel and Corporate Secretary on governance administration, including maintaining organized records of Board materials, minutes, and related documentation
  • Other Matters
    • Facilitate the collection of signatures on assignments, declarations and related documents from inventors and maintain organized IP records
    • Assist with contract execution and other related matters, working with the broader Legal team

About you:

  • 8+ years of experience as an Executive Assistant, ideally supporting legal, executive, or corporate governance functions 
  • Demonstrated ability to handle confidential and sensitive information with discretion, both internally and externally 
  • Strong proficiency in Microsoft Office and calendar/scheduling tools 
  • Excellent written and verbal communication skills, with a high level of professionalism in interactions with executives, Board members, outside counsel, and other stakeholders 
  • Exceptional attention to detail and organizational skills, with the ability to manage multiple competing deadlines 
  • Proactive problem-solver who collaborates well cross-functionally and adapts easily in a fast-paced environment

Preferred

  • Experience supporting a General Counsel, Chief Executive Officer, in-house legal department, or corporate governance function 
  • Exposure to Board of Directors support and board management platforms 
  • Prior experience at a publicly traded company
  • Notary public or willingness to become a notary public
