Job Summary: Under the direction of the Clinical Director of Outpatient Programs, the Medical Assistant will provide, ensure and coordinate with psychiatric staff, clinical, and administrative personnel to facilitate medication management, obtain and record vital signs through our electronic medical records database. The Specialty Medical Assistant will provide patient treatment utilizing Esketamine medication treatment or Transcranial Magnetic Stimulation (TMS) treatment under the direction of the treating provider, and will assist in monitoring patients during specialty medication treatments. The position requires an understanding of basic medical terminology and medication orders. Staff will manage a high degree of accuracy and confidentiality of information entered. Respond to inquiries regarding entered data in a timely manner. Assists with internal and external compliance regulations and maintains compliance with HIPAA, and other regulatory policies and procedures as required.
Minimum Education
- High School graduate or equivalent.
- Graduate of Medical Assistant program required
Minimum Work Experience
- 1-2 Years Medical Assistant experience, preferably in physician practice or outpatient clinic setting.
- 1 year of secretarial or administrative experience, including medical terminology.
Required Licenses/Certifications
- BLS Certification through American Heart Association.
- Current nationally accredited Medical Assistant Certification/Registered Required

Administer TMS treatments according to specific physician protocols. Set up the TMS medical device and monitor all aspects of the treatment sessions for patient comfort and treatment accuracy. |
Assist physician with cortical mapping and motor threshold determination during the initial TMS visit. |
Works with PR dept., PFS, and Medical staff to safely and quickly admit patients for treatment |
Provides a safe and therapeutic environment for treatment sessions |
Completes treatment plans and treatment plan updates for all clients, involving interdisciplinary team members in this process |
Administers screening tools to clients, initially and by way of follow-up; tracks this information |
Works with clients to facilitate completion of patient satisfaction information, and organizes, collates and disseminates this information to program leadership. |
Provide excellent patient care and treat patients with compassion while developing trust and rapport. Provides support, reflective listening, and compassion to patients struggling with depression and/or anxiety. |
Trains and orients SMC and TMS technicians to job role and tasks. |
Uses technology including Smartsheet to track patient status and outcomes . |
Scans and attaches collateral information to electronic health record, working with HIM staff when necessary. |
Provides appropriate application of prescription tracking and data entry in EMR on a daily basis. |
Collaborates with clinical and administrative staff as indicated, and consults with psychiatrist/physicians. |
Serves as liaison between pharmacy, consumer, and prescribers and maintains related medical records. |
Provides workflow improvements among staff and psychiatrist/physicians. |
Obtains and records vital signs, blood pressure, height and weight as required and enters health care data into EMR accurately. |
Ensures accurate and timely information is received and processed on a daily basis. |
Communicates with staff with regard to missing documentation or inadequate information. |
Prepares consumer information for psychiatrist appointments. |
Takes medical histories as needed. |
Collects laboratory specimens as needed. |
Maintains and updates patient medical records. |
Schedules Medical Tests. |
Answers Phones, Schedules Appointments for consumers or physician schedule as directed, Greets Patients |
Other duties as assigned. |
