Position Summary

I4H is seeking a detail-oriented and highly organized Construction Administrative Assistant to support our construction and real estate development team. This entry-level remote role will assist with project documentation, vendor coordination, and administrative tasks that help ensure projects move forward efficiently. The ideal candidate is proactive, organized, and comfortable managing multiple tasks in a fast-paced environment.

Key Responsibilities

  • Provide administrative support to the Real Estate Department to assist with the project management of up to 20 TI projects per year
  • Assist with organizing and maintaining project documentation, contracts, permits, and plans
  • Track project timelines, milestones, and key deliverables
  • Coordinate with contractors, vendors, and internal teams to gather required documents and updates
  • Assist with preparing and submitting FBNs, BLs, and other regulatory requirements needed to move projects forward
  • Maintain project folders and ensure documents are properly stored and accessible
  • Support bid collection for architects, construction, and appliances/vendors
  • Assist with purchasing décor items for new sites
  • Update project tracking spreadsheets and internal reporting tools such as Monday.com boards
  • Assist with creating space plans and gathering bids from architects for full sets of construction drawings (CDs)

Qualifications

  • 2+ years of administrative experience (construction or real estate experience is a plus but not required)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Monday.com is a plus
  • Comfortable working remotely and collaborating with distributed teams
  • Strong attention to detail

Preferred (Not Required)

  • Exposure to construction, real estate development, or facilities management
  • Experience reviewing plans, permits, or construction documentation
