JOB GOAL:
The Bilingual Office Manager (OM) is responsible for managing the daily administrative operations of the school, in support of the goals, policies and procedures developed by the Director of School Operations (DSO) and the school’s Principal. The Office Manager works closely with the DSO and Network Support Team to set a high professional customer service experience and operational standards.
EDUCATION & PREFERRED EXPERIENCE:
Bachelor’s degree from an accredited college or university
3+ years in administrative, preferably in a school main office; in lieu of degree
Bilingual in Spanish and/or Arabic (preferred)
2+ years of strong student information systems (SIS) data management experience
THE ROLE:
In collaboration with the DSO, manages the campus front office operations, serving as primary customer service contact for parents and visitors, answering phones, managing office supplies and all other essential office duties
Trains, directs, and monitors the work of the Receptionist and student office aides
Maintains strict confidentiality when dealing with student records and personnel matters
Maintains high standards of professionalism in appearance, communication, and in relationships with internal and external stakeholders
Analyzes situations and takes appropriate action regarding routine/emergency procedural matters without immediate supervision.
Acts as the primary contact regarding student records for all legally entitled agencies; requests for student information and student records, collection of student registrations, and management of enrollment paperwork
Maintains and secures student cumulative files per the current TDOE or federal guidelines
Prints and distributes student grade reports to families
Prepares a variety of documents and materials in support of school site operations including statistical reports, forms, and rosters
In collaboration with the school leadership and the Family and Community Engagement Coordinator, organizes community outreach and holds registration/re-registration information sessions for families
Work with the Operations Associate and Child Nutrition Operations Manager on income lunch verification forms collection
Work with the DSO to order, receive, properly secure, and inventory campus goods according to the purchase order system
Responds to requests for translation assistance and various other requests via Freshdesk
Assists with responding to requests from operational platforms such as Slack, SmartInspect, Transportation Tracker, and Attendance Tracker/ DeansList
Serve as backup medical designee to administer first aid and student medication
Attends necessary staff meetings and in-service trainings
May support in coordination of staff absences and securing of substitutes
Maintains timely, regular, and consistent attendance at work
Additional duties as assigned
QUALIFICATIONS:
Belief in and commitment to the mission of “Ready for College and Ready for Life” and values of LEAD Public Schools
At least 2 years exemplary record working in a startup, fast-paced office environment
Excellent written and verbal communication skills
Stands, walks and bends over, kneels, crouches, reaches overhead, grasps, pushes, and pulls.
Moves, lifts, and/or carries up to 50 pounds to waist height.
Ability to assess performance and develop methods and techniques for improvement
Proven ability to work collaboratively on projects
Demonstrated ability to manage projects
Proficiency and advanced experience with Google Suite and equivalent student database software
Ability to work outside of normal hours and on weekends, as needed
Proficiency and experience in Google Suite (Doc and Sheets)
Ability to anticipate and resolve problems
Ability to maintain the highest level of confidentiality
Openness to giving and receiving frequent feedback
Ability to maintain emotional control under stress
Ability to work urgently in a fast-paced and results-oriented environment

NICE TO HAVES:
Typing Certificate, 50 Net WPM (no more than 2 years old)
Demonstrated ability to supervise staff
Experience with Infinite Campus
