CharterĀ CoordinatorĀ 

ReportsĀ to:Ā Senior Operations ManagerĀ 

The role of aĀ CharterĀ CoordinatorĀ involves overseeing theĀ logisticsĀ and operations of charters, events, and activities for transportation services. Their primary responsibilities revolve around coordinating the movement of passengers for various purposes, such as events, tours, corporate travel, or specialized transportation needs.   

Job DescriptionĀ 

  • Manage all charter reservations from start to finishĀ 

  • Respond to calls and emails from potential clients requesting information within 24 hoursĀ 

  • Quote prices on charter services using established formulaĀ 

  • ā€œBookā€ all services and assigning the trip to a driver, confirming vehicle availabilityĀ 

  • Confirm all trips and details of request with client to ensure total satisfaction with serviceĀ 

  • Ensure all drivers are prepared for each trip, have the proper instruction, paperwork, itineraries, and directions necessary for the given assignmentĀ 

  • Confirm the equipment assigned to the driver is prepared for the assignmentĀ 

  • Apply all discounts to reservations as appropriateĀ 

  • Track all employee tips for trips bookedĀ 

  • Obtain billing information and prepare invoice or bill credit cardĀ 

  • Maintain positive customer relations and respond to any customer issues with courtesy and a solution-oriented attitudeĀ 

  • Resolve all customer complaints related to chartersĀ 

  • Coordinate large charter movesĀ 

  • Other miscellaneous duties as assignedĀ Ā

Skills and Qualifications:Ā 

  • Strong organizational and multitasking abilities.Ā 

  • DemonstratedĀ proficiencyĀ with Microsoft Office Applications: (Excel, Word, PPT…)Ā 

  • Excellent written and verbal communication and interpersonal skills.Ā 

  • Knowledge of transportation regulations and safety standards.Ā 

  • ProficiencyĀ inĀ logisticsĀ and coordination.Ā 

  • Problem-solving and adaptability in dynamic environments.Ā 

  • Ability to work in a fast-paced environment with tight deadlines.Ā 

  • Embrace conflict and be comfortable with having difficult conversations.Ā 

  • Attention to detail and ability toĀ maintainĀ records accurately.Ā 

  • ProficiencyĀ in relevant software and tools for scheduling and documentation.Ā 

  • Must be able toĀ workĀ a flexible schedule including Monday – Friday and weekend days as needed.Ā 

  • PreviousĀ customer service experience preferred.Ā

This role requires someone who is adept at managing multiple tasks simultaneously, communicating effectively with various stakeholders, and ensuringĀ a seamlessĀ transportation experience for clients.Ā 

Work EnvironmentĀ 
This job operatesĀ the majority ofĀ the time in an office setting.  This job will require travel around the area of responsibility and meeting with the wider support team.  This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.Ā 

Physical Demands/Expected Hours of WorkĀ 
TheĀ Charter CoordinatorĀ position is aĀ largely stationaryĀ role; however, some lifting,Ā standingĀ and bending will beĀ required.  This is a full-time position.  Days and hours of work are typically Monday through Friday.Ā Ā

This is an on-site,Ā full timeĀ position at our Bridgeport,Ā CT,Ā office.
